Duties and responsibilities at this level will entail: - 

  • Coordinate and oversee administrative functions across assigned divisions or units at Kenya-AIST.
  • Ensure effective document management systems, including filing, retrieval, and confidentiality of records;
  • Manage office correspondence, including dispatch registers and communication tracking systems.
  • Support the preparation of departmental work plans, reports, minutes, briefs, and institutional records.
  • Organize and provide logistical support for internal and external meetings, events, and functions.
  • Monitor office operations and ensure availability of supplies, equipment, and other administrative resources.
  • Implement and enforce administrative policies, circulars, and service delivery guidelines across departments.
  • Promote compliance with government regulations, institutional standards, and operational procedures.
  • Support internal communication flow and inter-departmental coordination across the Institute.
  • Participate in institutional committees and task forces as assigned.
  • Support staff training, induction, and performance appraisal processes.
  • Any other duty that maybe assigned from time to time.

For appointment to this grade a candidate must have:

  • Served for a cumulative period of at least ten (10) years relevant work experience, two (2) of which must be post Master’s degree qualification work experience;
  • Master's Degree in a relevant field from a recognized institution;
  • Bachelor’s Degree in any of the following disciplines: Public/Business Administration, Human Resource Management, Political Science, Psychology, Sociology or any other relevant and equivalent qualifications from a recognized institution;
  • Proficiency in computer application skills, including Microsoft Office Suite, ERP systems, email and video conferencing tools, internet research, basic data management, and awareness of cybersecurity practices;
  • Membership to a relevant professional body is an added advantage;
  • Shown merit and ability as reflected in work performance and results;
  • Knowledge of data protection laws is an added advantage, and
  • Work experience in a higher education institution is an added advantage.
