A Senior Administration Officer's duties involve overseeing daily office operations, managing budgets, and supervising staff to ensure efficiency and support the organization's goals.
Supervision and management: Oversee and manage administrative staff, direct administrative divisions, and ensure smooth daily operations. Budget and finance: Manage office budgets, track expenditures, and ensure cost-effectiveness for office running costs, such as kitchen supplies and maintenance. Office and facility management: Supervise the maintenance and repair of office facilities, ensure legal permits are current, and oversee the purchase and distribution of supplies. Policy and procedure: Develop, implement, and improve office policies and procedures to maintain order and efficiency. Coordination and support: Coordinate activities with other departments and provide high-level administrative support to senior officials. Personnel: Manage day-to-day personnel and administrative operations, including ensuring a healthy and safe working environment. Communication: Act as a point of contact for internal and external inquiries, manage correspondence, and schedule meetings and events.
Leadership: Ability to manage and motivate administrative staff. Communication: Excellent written and verbal communication skills for handling inquiries and coordinating with various departments. Organizational skills: Strong ability to manage time, schedules, and tasks efficiently. Technical proficiency: High proficiency in Microsoft Office Suite and other business management software. Problem-solving: Ability to make complex operational decisions and solve problems effectively. Interpersonal skills: Ability to build positive relationships with colleagues, managers, and clients. Attention to detail: Crucial for tasks such as data management, record-keeping, and budget adherence. Fiscal planning: Knowledge of budgeting and financial reporting. Adaptability: The ability to adjust to new challenges and learn new procedures quickly.
