Job Purpose

The Supplies Officer is responsible for the efficient receipt, storage, inventory management, and distribution of medical and non-medical supplies within the hospital. The role ensures the continuous availability of required items, accurate inventory records, proper stock control, and compliance with established supply chain procedures.

Key Duties and Responsibilities

  • Receive, inspect, and verify supplies delivered to the hospital to ensure compliance with purchase orders and quality requirements.
  • Maintain accurate records of stock receipts, issuances, transfers, and balances.
  • Issue supplies to departments in a timely manner while ensuring proper documentation and authorization.
  • Monitor stock levels and initiate replenishment requests to prevent stock-outs.
  • Ensure proper storage, handling, and organization of supplies in accordance with recommended standards.
  • Conduct routine stock counts, inventory reconciliations, and periodic stock audits.
  • Monitor expiry dates and stock movement to minimize losses resulting from expired, damaged, or obsolete items.
  • Maintain inventory records within the hospital inventory management system.
  • Prepare inventory reports and provide stock status updates to management as required.
  • Assist in investigating stock discrepancies and implementing corrective actions.
  • Ensure cleanliness, orderliness, and security of stores and storage areas.
  • Collaborate with procurement and user departments to support efficient supply chain operations.

Requirements

Qualifications and Experience

  • Bachelor’s Degree in Procurement and Supply Chain Management, Logistics, Business Administration, Commerce, or a related field.
  • Professional qualification in Procurement and Supply Chain Management will be an added advantage (Preferred).
  • Minimum of three (3) years’ experience in stores management, inventory control, supplies management, or logistics operations.
  • Experience working in a healthcare institution, pharmacy stores, or a similar environment is preferred.
  • Demonstrated experience in inventory management systems and stock control processes.
  • Knowledge of inventory management principles and warehouse operations.

Required Skills and Competencies

  • Strong inventory management and stock control skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office applications and inventory management systems.
  • Strong organizational and record-keeping abilities.
  • Attention to detail and high level of accuracy.

  • Strong problem-solving and decision-making skills.
  • Ability to work effectively with multiple departments and stakeholders.
