1. Job Purpose

To oversee warehouse operations and logistics functions, ensuring efficient inventory management, timely dispatch, and accurate documentation. The role safeguards stock integrity, supervises staff, and ensures smooth flow of goods from storage to delivery while keeping the Operations Manager fully informed.

2. Key Responsibilities

A. Liaison & Stakeholder Management

Act as the primary contact between warehouse, logistics, and internal departments.

Facilitate operational meetings, reporting sessions, and coordination with suppliers and transport providers.

Escalate operational, financial, and client-related matters when necessary.

B. Warehouse Operations Oversight

Supervise daily warehouse activities including receiving, storage, and dispatch of goods.

Ensure proper stock handling, labeling, and arrangement for easy retrieval.

Monitor stock levels and initiate timely replenishment.

C. Logistics Management

Plan and coordinate deliveries to clients in line with schedules.

Liaise with transport providers to ensure timely dispatch and delivery.

Track shipments and resolve delivery challenges promptly.

D. Staff Management

Oversee warehouse and logistics staff performance, attendance, and discipline.

Train and guide staff on warehouse procedures and safety standards.

Ensure compliance with company policies and operational guidelines.

E. Quality & Compliance

Ensure goods are handled safely and stored under proper conditions.

Monitor warehouse cleanliness, safety, and compliance with regulatory standards.

Enforce adherence to company policies and procedures.

F. Financial Oversight & Reporting

Maintain accurate records of stock movements, dispatches, and returns.

Prepare daily/weekly warehouse and logistics reports.

Support reconciliation of stock usage and delivery documentation.

Key Performance Indicators (KPIs)

Accuracy of stock records and reconciliations.

Timeliness and efficiency of deliveries.

Staff performance and compliance levels.

Customer satisfaction with delivery services.

Warehouse safety and cleanliness standards.

Reduction in stock losses, damages, or discrepancies.

3. Qualifications

Diploma/Degree in Logistics, Supply Chain Management, or related field.

Minimum 3 years experience in warehouse and logistics coordination.

Strong organizational and supervisory skills.

Good understanding of inventory management and logistics processes.

4. Skills and Competencies

Organizational and time management abilities.

Knowledge of inventory control and logistics systems.

Problem-solving and conflict resolution abilities.

Communication and interpersonal skills.

Knowledge of transport regulations and compliance standards.
