The Fashion Admin Assistant plays a critical role in supporting operations, logistics, and internal coordination. This role is ideal for someone who thrives in organized environments, understands fashion workflows, and can act as the connective link between teams, vendors, and management.
Responsibilities or duties
Design & Creative
- Assist in Develoment of fashion concepts, collections, and design sketches.
- Take part in Creating technical drawings and assist with sample development.
- Be a part of Researching trends, fabrics, and materials aligned with brand identity.
- Work closely with tailors, pattern makers, and production teams.
- Assist in fittings, alterations, and quality checks.
Administrative & Operational
Operations & Logistics.
- Track shipments, deliveries, and production timelines.
- Monitor and update inventory levels for materials and finished products.
- Support vendor coordination and assist with payment tracking and documentation.
Team Scheduling & Coordination.
- Coordinate team calendars and schedule internal meetings.
- Set up meetings, reminders, and manage internal deadlines.
- Support day-to-day coordination between departments and team members.
Data Entry & Reporting
- Update spreadsheets, sales records, inventory logs, and administrative documentation.
- Prepare basic reports to support decision-making.
- Maintain organized digital and physical records.
Communication & Workflow Management.
- Manage general inquiries and provide basic customer service support (non-design related).
- Act as the central point of communication for day-to-day office updates.
- Relay information clearly between design, operations, sales, and management teams to ensure smooth workflow execution.
Qualifications or requirements (e.g., education, skills)
- Diploma or Bachelor’s degree in Fashion designer, Fashion Management, or a related field.
- Strong organizational, multitasking, and follow-up skills.
- Proficiency in basic computer applications (Excel, Word, Google Workspace).
- Clear written and verbal communication skills.
Experience needed
- Previous experience in an administrative or coordination role within a fashion brand is strongly preferred.
