Reporting to the Medical Director the Clinical Services Coordinator will be responsible for coordinating and facilitating the smooth delivery of medical services across the hospital by supporting clinical operations, ensuring effective communication between departments, managing doctor documentation, and assisting the Medical Director in administrative and operational duties. The role is key to enhancing patient care, clinical efficiency, and compliance with regulatory and hospital standards.

MAIN DUTIES AND RESPONSIBILITIES

Clinical Operations Support

  • Coordinate daily clinical activities across departments to ensure efficient service delivery.
  • Liaise with medical staff to resolve scheduling conflicts and patient flow issues.
  • Support implementation of clinical protocols, policies, and quality standards.
  • Monitor patient turnaround times and assist in addressing bottlenecks.

Doctor & Consultant Management

  • In liaison with the Medical Director, ensure all visiting and resident consultants are fully compliant with legal, regulatory, and hospital policy requirements (e.g., licensure, indemnity, registration, contracts).
  • Streamline and maintain up-to-date documentation for all consultants, ensuring timely renewal of licenses and relevant professional certifications.
  • Develop and manage a centralized database of all visiting and resident consultants, including specialty, availability, contracts, and compliance status.
  • Coordinate onboarding, orientation, and scheduling of new consultants in collaboration with relevant departments.
  • Ensure adherence to hospital protocols by all consulting physicians, including documentation standards and patient handover procedures.

Administrative Support to Medical Director

  • Prepare reports, minutes, presentations, and correspondence on behalf of the Medical Director.
  • Track implementation of clinical improvement plans, audits, and strategic initiatives.
  • Coordinate internal meetings, medical staff briefings, and departmental reviews.

Interdepartmental Liaison

  • Serve as the communication bridge between medical departments, nursing, pharmacy, laboratory, and administration to ensure alignment in service delivery.
  • Follow up on cross-functional action items affecting clinical operations.

Patient Experience & Service Quality

  • Monitor patient feedback relating to medical services and escalate issues requiring clinical input.
  • Support service excellence programs targeting improvements in clinical touchpoints.
  • Work with the Quality Team to ensure adherence to patient safety and care standards.

Compliance & Documentation

  • Maintain updated documentation of clinical policies, departmental workflows, and staff duty rosters.
  • Support preparation for internal and external audits, accreditations, and regulatory inspections.
  • Ensure confidentiality, security, and proper handling of clinical records and patient data.

Project Coordination

  • Participate in special projects or hospital-wide initiatives led by the Medical Director.
  • Support rollout of new clinical services, pilot programs, or research collaborations

MINIMUM REQUIREMENTS/ QUALIFICATIONS

  • Bachelor’s Degree in Healthcare Management, Nursing, Clinical Medicine, or a related field.
  • Minimum 3–5 years’ experience in a hospital coordination, clinical operations, or healthcare administrative role.
  • Prior experience coordinating medical staff or consultants is a strong advantage.
