Role Purpose:
To support the HR Director CEWA in delivering the EA and GAID people agenda through strategic coordination, effective governance, and collaboration with CoEs and People Services.
Responsibilities or duties
HR Operations, Compliance & Local Execution in Partnership with People Services
- Serve as local coordination and escalation point for employee and manager matters requiring local context, compliance input, or HR Director alignment.
- Coordinate employee lifecycle processes including onboarding, offboarding, probation, contracts, employee records, and documentation governance.
- Support local reward topics, including compensation and benefits queries, data coordination, and implementation of approved changes in partnership with Reward and People Services.
- Coordinate payroll inputs, validations, statutory documentation, issue resolution, and timely follow-up with payroll providers, Finance, and People Services.
- Coordinate global mobility, immigration, and expatriate support in partnership with relevant providers and internal stakeholders.
People, Culture & Early Careers Activities
- Support employee engagement, wellbeing, culture, values, and internal communication initiatives in partnership with the HR Director and relevant teams.
- Coordinate local employee events, recognition activities, CSR initiatives, and on-site logistics for people-related programs.
- Manage employer branding and early careers activities, including university relations, career fairs, internships, and onboarding.
Coordination with CoEs, People Services, Regional and Global Teams
- Liaise with CoEs, People Services, and regional/global HR teams on specialist input, process execution, escalations, policy alignment, and system updates.
- Support local implementation of regional and global HR programs, including performance cycles, engagement surveys, system rollouts, capability-building, and communication cascades.
- Monitor service experience, escalation themes, and process gaps, recommending improvements to strengthen efficiency, governance, and employee experience.
Executive Support to the GM and Local CEWA Leadership Team
- Provide high-quality executive coordination support to the GM and Leadership Team, including leadership calendars and meeting logistics.
- Prepare and consolidate briefing materials, presentations, reports, and leadership communications, ensuring accuracy, consistency, and timely delivery.
- Support executive visits, town halls, business reviews, leadership events, and other strategic forums through end-to-end planning and stakeholder coordination.
- Manage sensitive and confidential information with discretion and serve as a trusted coordination interface between the GM, Leadership Team, and internal and external stakeholders.
HR Administration, Front Office, Facilities & Logistics Coordination
- Coordinate HR vendors, purchase orders, invoices, and service providers to ensure timely delivery of HR activities.
- Oversee front office coordination and facilities support, including reception standards, visitor management, office services, workplace readiness, and vendor follow-up.
- Manage logistics for training, leadership visits, engagement activities, internal events, and HR-led business forums.
- Drive process improvements through standardized SOPs, trackers, templates, and documentation practices.
Qualifications or requirements (e.g., education, skills)
Education & Experience
- Bachelor’s degree in human resources, Business Administration, or related field.
- At least 5 years of experience in an HR generalist, HR operations or people services role.
- Experience working in a multinational or matrixed organization.
- Experience supporting payroll inputs, statutory compliance, compensation and benefits processes, employee relations, and HR projects.
- Experience coordinating front office, facilities, office services, or workplace administration.
Skills & Competencies
- Strong knowledge of local labor laws and compliance.
- High levels of ownership, accountability, and ability to work independently.
- Excellent interpersonal and communication skills.
- Ability to manage multiple tasks and stakeholders in a fast-paced environment.
- Strong coordination, problem-solving, and escalation management skills.
- Proficiency with HRIS systems, MS Office, and digital collaboration tools.
