Job Summary
The Head of Operations will lead and direct all operational activities, including production, logistics, supply chain, quality control, and customer service. This role involves developing and implementing strategies, policies, and procedures to enhance productivity, profitability, and customer satisfaction while ensuring compliance with regulatory standards.
Key Responsibilities
Operational Strategy & Leadership
- Develop and implement operational strategies, policies, and procedures to streamline processes and improve efficiency.
- Provide leadership and direction to departmental managers and supervisors, ensuring alignment with organizational goals.
- Oversee day-to-day operations, including production planning, inventory management, procurement, and distribution.
- Monitor key performance indicators (KPIs) to assess performance and drive operational excellence.
- Lead cross-functional teams to implement process improvements, cost-saving initiatives, and quality enhancement programs.
Financial Management & Reporting
- Prepare and post financial records into the company ERP system, including petty cash journals, bank vouchers, accruals, and prepayments.
- Generate daily, weekly, monthly, and annual financial reports (income & expenditure, balance sheets, cash flow, bank reconciliations).
- Develop and manage budgets, financial forecasts, and cost-control measures.
- Ensure timely invoicing, debtors/creditors management, and credit control.
- Implement recommendations from internal and external auditors.
Human Resources & Administration
- Manage the employee lifecycle, including recruitment, onboarding, performance management, and offboarding.
- Drive employee engagement initiatives and capacity-building programs.
- Oversee payroll, staff benefits, statutory deductions, and compliance with Kenyan labor laws.
- Manage organizational assets, office maintenance, travel, and stockkeeping.
- Ensure safety and security compliance with Kenyan law and company policies.
Compliance & Risk Management
- Ensure compliance with regulatory requirements, industry standards, and safety regulations.
- Identify operational risks and opportunities, developing strategies to mitigate risks and capitalize on opportunities.
- Foster a culture of continuous improvement, innovation, and accountability.
Requirements and Qualifications
- Bachelor’s degree in Business Administration, Operations Management, Engineering, or a related field; Master’s degree or MBA preferred.
- Proven experience in operations management, with a track record of success in leading operational functions in complex organizations.
- Strong understanding of business operations, supply chain management, and process optimization.
- Excellent leadership, communication, and interpersonal skills.
- Analytical mindset with proficiency in interpreting operational metrics and performance indicators.
- Knowledge of relevant regulations, compliance standards, and industry best practices.
- Ability to thrive in a dynamic, fast-paced environment and manage competing priorities effectively.
