Key Duties and Responsibilities:

Coordination of Talent Acquisition

  1. Scheduling of interviews, logistical planning, and constant engagement of hiring managers and candidates,
  2. Preparation of interview collateral and collation of interview outcomes, preparation of professional interview summaries, and communicating interview outcomes to both internal and external candidates through available communication channels.
  3. Work closely with team leaders in onboarding of new joiners, including managing the documentation, risk and governance processes, and orientation activities.

 Management of Employee Records, Filing and Retrieval

  1. Coordinate and maintain accurate orientation, onboarding, and separation documentation
  2. Track employee contracts. This includes probation, confirmation and contract renewals.
  3. Ensure annual personal data consent form & Unga code of Ethics and conduct acknowledgement and acceptance forms are completed, signed and filed.

 HR Operations

  1. Maintain and update calendars of HR events and site activities.
  2. Submit accurate HR reports that are analyzed with useful metrics.
  3. Provide relevant data for payroll processing and ensure all payroll errors are resolved.
  4. Support day to day management of outsourced staff and labour cost based on approved establishment
  5. Process invoices for payment and ensure invoice reconciliation are done on time to avoid delay in payments

Employee Relations

  1. Provide Support to employees in various HR related matters and properly handle and document complaints and grievance procedures
  2. Ensure issues brought forward are resolved and escalated on time.
  3. Collaborate seamlessly with the HR team to eliminate any gaps in the employee experience.
  4. Draft employee disciplinary meeting minutes and ensure all disciplinary documentations are filed.

Learning Support

  1. Planning and execution of induction programmes
  2. Preparing and releasing communication on various trainings
  3. Tracking attendance of various in-house or external trainings

 Performance Management

  1. Provide administrative support for performance management activities.
  2. Ensure quarterly face to face sessions are effectively done and annual PDPs are completed, signed and filed

HR Compliance

  1. Ensure 100% compliance with statutory and regulatory requirements
  2. Ensure timely renewals of Service provider contracts, permits and licenses
  3. Monitor Service Level Agreements (SLA) between Unga Holdings Ltd and HR Service Providers.

Job Requirements

Minimum Requirements:

  1. Bachelor’s Degree in human resource management or any other related discipline.
  2. Hands on experience in HRMIIS
  3. CHRP Certification and Professional Membership (IHRM).
  4. 2-3 years of experience in a similar role, preferably in FMCG
  5. Good Knowledge of the Kenyan labour laws.
  6. Computer proficiency
