Job Purpose

Our client in the retail industry is seeking to hire an Internal Procurement Buyer to manage all internal purchase requests made for or by the company as per the Internal Procurement Policies and SOPs, while always guaranteeing the best possible price, service delivery, and quality from the market. They are additionally in charge of planning, prioritizing, reporting and ensuring that the needs of the business are met adequately and in a timely manner as requested by the internal departments or assigned to them by their immediate supervisor. The role supports business objectives through strategic sourcing, supplier relationship management, and category growth initiatives.

Qualifications and Experience

  • Bachelor’s Degree in Procurement or Commerce, any other related field from a recognized institution.
  • Diploma in Supply Chain Management/Procurement Management from a recognized specialized body (KIPS).
  • Over 2 years in procurement with over 2 years driving strategy development and implementation.

  • Conduct quarterly market checks, market studies, and analysis in the source markets, and prepare and submit price comparison reports with analysis for management approval.
  • Negotiate the best prices for internal consumption products while maintaining both quantity and quality in consideration and contract purchases for recurring supplies.
  • Arrange for the clearance of consumption commodities from air/seaports and the transportation of materials to the enterprise.
  • Communicate with Department Heads about the status of proposed consumption purchases and keep management up to date on the situation.
  • Analyze category performance and recommend assortment adjustments.
  • Ensure that the minimum insurance requirements have been created to protect the organization’s interests during the procurement of internal procurement products or services from third party vendor/s, even if the Vendor is utilized on a ”’one time” basis.
  • Create the monthly vendor master file modification report from the Procurement system and transmit it for approval to the Internal Procurement Manager.
  • Assess all internal consumption vendors’ contracts to ensure they meet all the conditions and standards outlined in the Procurement Policies and Procedures for Contracting.
  • Ensure that the company’s internal procurement office adheres to the set requirements and the prices charged are in accordance with the negotiated pricing schedule.
  • Ensure that company-related confidential information is not disseminated without prior written consent from management. Maintains the confidentiality of all internal Procurement and other company information.
  • Handle all official Travel requirements for management and employees in liaison with selected travel agents while ensuring that best rates available are taken advantage of as per company Travel Policy.
  • Build and maintain strong partnerships with key suppliers.
  • Monitor supplier performance and resolve quality or delivery issues.
  • Conduct supplier audits and performance reviews.
  • Monitor category spend, cost savings, and pricing trends.
  • Work with finance to ensure accurate budgeting and forecasting.
  • Prepare reports on category performance, market trends, and procurement KPIs.
  • Work closely with merchandising, operations, and marketing teams to drive category performance.
  • Support new product launches and promotional activities.
  • Ensure all procurement activities comply with company standards and ethics.
