Role Overview
Our client is a senior international executive relocating to Nairobi to establish a new operation and is seeking a highly organised and dependable Personal Assistant to provide day-to-day executive and operational support. The role will manage the CEO’s diary, travel, correspondence, stakeholder coordination, and practical logistics while supporting the establishment of the new office. This is a hands-on opportunity for a proactive professional who is comfortable working independently in a fast-paced and evolving environment.
Key Responsibilities
- Manage the CEO’s calendar, appointments, correspondence, and day-to-day schedule
- Coordinate local and international travel, accommodation, visas, transport, and detailed itineraries
- Support the establishment and smooth running of the new office, including equipment, supplies, and administrative requirements
- Coordinate meetings with local and international stakeholders, prepare agendas, take notes, and follow up on action items
- Act as a trusted point of contact for the CEO, exercising discretion and sound judgment when handling confidential matters
- Liaise with local partners, service providers, and UK-based colleagues across different time zones
- Provide practical logistical and settling-in support as the CEO establishes operations in Kenya
Qualifications & Experience
- Minimum 3–5 years’ experience as a Personal Assistant, Executive Assistant, or in a senior administrative support role, preferably supporting senior leadership
- Proven ability to manage complex schedules, travel arrangements, correspondence, and multiple competing priorities
- Excellent written and verbal communication skills, with confidence engaging senior and international stakeholders
- Highly organised, proactive, resourceful, and able to work independently in a fast-paced and evolving environment
- High level of discretion, integrity, professionalism, and sound judgment
- Proficiency in Microsoft 365, Google Workspace, scheduling tools, and business communication applications
- Flexibility and willingness to support practical day-to-day operational requirements as needed
