An officer at this level will work under supervision and guidance of a Director.
Responsibilities or duties
Duties and responsibilities at this level will entail:
- Controlling and monitoring use of official motor vehicles by authorizing motor vehicle movements through work tickets, maintenance of accurate transport records and ensuring regular and scheduled maintenance;
- Coordinating transport staff and allocate appropriate duties;
- Coordinating cleaning contracted staff;
- Supervising issues of fuel orders, fuel cards and preparing fuel consumption reports on monthly basis;
- Supporting staff in terms of identifying office accommodation and space for staff;
- Providing tools, equipment and good working environment;
- Ensuring that offices and other facilities are kept clean to the highest standards;
- Ensuring that staff are provided with tea and drinking water in time; Acquiring and renewal of licenses;
- Ensuring timely repairs and maintenance of office facilities including equipment’sand furniture;
- Facilitating prompt payment of electricity, water bills and other utilities;
- Implementing systems and procedures for disposal of vehicles in consultation with the procurement department;
- Maintaining and updating records of the organization’s vehicles and equipment;
- Ensuring timely renewal of licences for all vehicles and equipment; and
- Facilitating prompt settlement of accident vehicle cases.
Qualifications or requirements (e.g., education, skills)
Experience needed
- A minimum period of eight (8) years in relevant work experience and at least three (3) years in supervisory role in a position in the Public Service or Private Sector;
Education
- Masters’ degree in any of the following disciplines: - Public Administration, Transport Management / Logistics Business Administration; Office Management, Social Sciences or relevant qualification from a recognized institution;
- Bachelors’ degree in Public Administration, Transport Management / Logistics Business Administration; Office Management, Social Sciences or relevant qualification from a recognized institution;
- Management course lasting not less than four (4) weeks from a recognized institution;
Skills
- Proficiency in computer applications;
- Demonstrated results in work performance; and
- Fulfilled the requirements of Chapter Six of the constitution
Competencies and Skills
- Report writing;
- Public Relations;
- Communication; and
- Interpersonal.
