Job Summary

The Receptionist is the first point of contact for the organization, responsible for greeting visitors, managing incoming calls, and providing administrative support to ensure smooth daily operations. The ideal candidate is professional, organized, and customer-service oriented.

Key Responsibilities

  • Greet and welcome guests, clients, and visitors in a warm and professional manner.
  • Answer, screen, and forward incoming phone calls; take accurate messages.
  • Manage the front desk area, ensuring it is clean, organized, and presentable.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Schedule appointments and maintain calendars for meeting rooms or staff.
  • Perform basic administrative tasks: filing, photocopying, scanning, and data entry.
  • Maintain office security by following visitor sign-in procedures and issuing badges.
  • Assist other departments with clerical tasks as needed.
  • Order and maintain office supplies and inventory.
  • Respond to inquiries via email, phone, or in person promptly and professionally.

Qualifications

  • High school diploma or equivalent; additional certification in office administration is a plus.
  • Proven experience as a receptionist, front desk agent, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Professional appearance and demeanor.
  • Ability to handle sensitive information with confidentiality.
