Responsibilities or duties
Duties and responsibilities will entail:
- Procuring goods, works and services
- Advising on rationing of stores where demand exceeds supply
- Conducting market survey and research
- Carrying out the tendering processes
- Filing and maintaining procurement records
- Managing inventory, stores and assets through inventory management system to avoid unprofitable lock-up of funds, stock outs as well as preventing wastage and losses
- Maintaining procurement records for at least Six years after resulting contract has been completed through proper archiving for the purpose of ease of retrieval for future use
- Coordinating the asset management and disposal of assets
- Preparing periodic and annual supply chain management reports
- Verifying the receipt of common user items
- Supervising stores operations
- Observing compliance with policies, procedures, procurement act and regulation
- Inspect goods, works or services delivered to confirm the right quantity hence value for money
- Maintaining and updating the list of registered suppliers, contractors and consultants on a regular basis through advertising for open tender as well as receiving unsolicited applications for the reasons of having a quality data base for the institute
- Preparing periodic and annual supply chain management report returns so as to comply with the Act by submitting quarterly and annual reports to the relevant bodies.
- Coaching, mentoring, training and developing staff to ensure an effective and motivated team.
- Supervising and appraising staff
Qualifications
Person specifications
For appointment to this grade, a candidate must have:
- Cumulative service in supply chain management for a period of six (6) years, three (3) of which must have been at the grade of Supply Chain Management Officer I or in a comparable position
- Bachelor’s Degree in Business Administration / Commerce (Supply Chain Management Option) or equivalent qualification from a recognized institution;
- Shown merit and ability as reflected in work performance and results
- Full membership; Kenya Institute of Supplies Management (KISM) in good standing
- Supplies Practitioner’s Licence issued by Kenya Institute of Supplies Management (KISM)
- Proficiency in Computer Applications.
