Job Purpose
The Stores Clerk serves as the primary custodian of company assets, responsible for the total
integrity of the supply chain from the moment raw materials are offloaded to the final dispatch
of finished products. The core mission of this role is to maintain an absolute, accuracy between
physical warehouse inventory and the SAGE system. The Job Holder ensures that management
has a real -time, trustworthy view of stock levels, allowing the business to meet client demands
with precision and financial efficiency
Primary Responsibilities

  1. Receive and unload incoming products, verifying quantities and quality against purchase
    orders (POs) and packing slips.
  2. Conduct detailed inspections of incoming materials, checking for damages or nonconformity to technical specifications, and rejecting unsatisfactory items per company
    protocol.
  3. Ensure every item is suitably labeled with identification tags, barcodes, or stamps to
    facilitate real-time tracking and quick retrieval.
  4. Accurately record all stock movements (incoming and outgoing) in the SAGE system to
    maintain an up-to-date perpetual inventory.
  5. Pack and unpack items for storage, ensuring materials are placed in designated locations
    to maintain an orderly and clean storeroom.
  6. Perform daily and weekly physical cycle counts, reconciling actual quantities in the
    warehouse against digital records to identify and report variances.
  7. Physically organize and rotate stock to strictly adhere to First-In, First-Out (FIFO) or other
    required inventory flow methods.
  8. Pick and pack orders for internal requisitions with high speed and accuracy to meet
    customer demand and delivery schedules.
  9. Immediately investigate and document any discrepancies between physical counts and
    system balances, proposing corrective actions to management.
  10. Prepare goods for dispatch according to sales orders, ensuring items are properly loaded
    onto transport vehicles safely.
  11. Regularly monitor stock levels for fast-moving items, estimating needs and generating
    reorder requests to avoid production or sales interruptions.
  12. Manage the receipt of returned products, assessing items for damage, and coordinating
    their disposal or restocking according to established SOPs.
  13. Maintain accurate batch and lot records for all stored materials to ensure full traceability
    from raw material receipt to final dispatch.
  14. Safely operate material handling equipment, such as forklifts to move and stack heavy
    merchandise.
  15. Maintain the storeroom facility in a clean and hazard-free condition, following all safety
    protocols and wearing required Personal Protective Equipment (PPE).
    Secondary Responsibilities
  16. Generate and distribute weekly inventory reports covering stock positioning, aging,
    obsolescence, and shrinkage.
  17. Act as a key support lead during quarterly and year-end physical inventory audits,
    providing accurate documentation and verified stock sheets.
  18. Communicate directly with vendors regarding short-deliveries, incorrect invoicing, or
    quality issues identified during receiving.
  19. Maintain a systematic physical and digital filing system for all delivery notes, goods
    received vouchers, and stock issue forms.
  20. Collaborate with production and finance teams to provide data for demand forecasting
    and inventory valuation.
  21. Identify bottlenecks in warehouse operations and suggest layout or process
    improvements to enhance material flow.
    Requirements & Competencies
  • Diploma or Higher Diploma in Procurement, Supply Chain Management, or a related
    field.
  • Previous training from the National Youth Service is a requirement for this position.
  • Minimum of 3 years’ experience in a dedicated stock control or warehouse clerk role
    within a manufacturing or large-scale retail environment.
  • Advanced expertise in ERP systems, specifically SAGE.
  • Strong mathematical skills for calculating stock adjustments, variances, and inventory
    turnover rates.
  • High level of integrity, acute attention to detail, and the ability to work effectively both
    independently and as part of a team.
