Job Title: Team Leader

Reports to: Site Controller

Employment Terms: Fixed Term

Location: Nairobi

JOB PURPOSE

The Team Leader will provide day-to-day supervision, coordination, and administrative support to assigned staff at the client site. The role is responsible for ensuring compliance with workplace policies, maintaining discipline, supporting performance management, and acting as a key link between staff and management.

This role is designed as a development position, with potential growth into higher supervisory or operational roles.

KEY RESPONSIBILITIES

1. Staff Supervision & Coordination

  • Supervise assigned staff and ensure adherence to work schedules and assigned duties.
  • Allocate daily tasks and monitor attendance, punctuality, and productivity.
  • Act as the first point of contact for staff-related concerns at the site.

2. Compliance & Discipline Management

  • Ensure strict adherence to workplace policies, procedures, safety standards, and labor regulations.
  • Support disciplinary processes by providing factual, accurate information and documentation when required.
  • Maintain neutrality and integrity during disciplinary matters and investigations.
  • Report incidents, misconduct, absenteeism, or policy breaches promptly to management.

3. Administrative & Reporting Duties

  • Maintain accurate staff records including attendance, leave, incidents, and performance matters.
  • Prepare and submit timely daily, weekly, and monthly reports as required.
  • Support onboarding and induction of new staff at the site.

4. Stakeholder Liaison

  • Communicate operational issues, staff feedback, and staffing needs to management.
  • Support the resolution of staff or operational concerns in a professional and timely manner.

5. Health, Safety & Welfare

  • Promote a safe working environment and ensure compliance with health and safety requirements.
  • Escalate safety incidents or risks immediately through the appropriate channels.
  • Support staff welfare while maintaining professional and ethical boundaries.

6. Performance Support & Development

  • Monitor staff performance and provide basic coaching and guidance where required.
  • Identify training needs or performance gaps and escalate accordingly.
  • Support performance improvement initiatives implemented by management.

QUALIFICATIONS AND EXPERIENCE

  • Minimum of a Diploma in Human Resources, Business Administration, or a related field
  • Previous experience in a supervisory, team lead, or administrative role is an added advantage
  • Experience working with outsourced staff or in a manufacturing or production environment is desirable
  • ​Basic knowledge of labor laws is an added advantage.

  • Communication & Stakeholder Management: Clear verbal and written communication with staff and management, with strong customer service orientation.

  • Problem Solving & Decision Making: Ability to identify issues quickly, analyze causes, and implement practical solutions.
  • Organization & Compliance: Strong planning, record keeping, and adherence to workplace policies, health & safety, and labor regulations.
