Role Outline
The Transport Administrator provides administrative and operational support to transport operations, ensuring efficient coordination of vehicles, drivers, documentation, compliance and reporting. The role supports smooth day-to-day transport activities, service delivery and cost-control objectives.
About the role key duties and responsibilities
- Coordinate daily transport activities.
- Ensure transport records are complete, accurate and properly filed.
- Maintain documentation for audit and compliance purposes.
- Track vehicle licensing, insurance and permit renewals.
- Assist in managing driver’s timesheets and payroll inputs.
- Update fleet databases and transport management systems.
- Ensure compliance with transport regulations and company policies.
- Monitor fleet performance, availability and utilization.
- Identify discrepancies and escalate them for resolution.
- Support investigations into accidents and transport incidents.
- Promote a positive safety culture and employee engagement.
- Track traffic violations, fines and corrective actions.
- Generate daily, weekly and monthly transport reports.
- Ensure fleet compliance with regulatory and company standards.
- Monitor axle-load and weighbridge compliance requirements.
- Track traffic violations, fines and corrective actions.
- Ensure compliance with transport legislation, road safety regulations and company policies.
- Ensure driver compliance with licensing, permits and training requirements.
- Support dispatch control and manage delivery documents, vehicle keys, GPS devices, fuel cards and mobile phones.
- Coordinate communication on delivery issues with customer service and relevant stakeholders.
- Support team performance, workload balance and achievement of personal development objectives.
About you
- Diploma or degree in Logistics, Supply Chain Management or a related field; relevant professional qualification.
- 2-5 years in logistics, transport administration or a related operational environment.
- Proven transport administration or dispatch experience, preferably within the logistics industry.
- Experience coordinating daily transport activities, maintaining transport and driver records, tracking compliance renewals, updating fleet databases or TMS, preparing reports, supporting payroll inputs and escalating discrepancies.
- Experience supporting Kenya-based transport operations and applicable local road transport requirements.
- Fluent written and spoken communication.
