The successful candidate will be highly organized, detail-oriented, and possess strong interpersonal skills.

Key Responsibilities:

  • Receiving visitors and staff in a professional and courteous manner.
  • Receiving, making, and transferring telephone calls.
  • Receiving and distributing Mail, Parcels, and Messages to respective personnel.
  • Sending letters and packages via courier services.
  • Taking visitors and prospective parents around the school, when required.
  • Responding to inquiries either via email or verbally.
  • Filing and retrieving documents from student's files.
  • Maintaining out-of-school students on ISAMs and relaying the message to the teachers via email.
  • Addressing administrative issues directed by the Head Teacher, Deputy Head Teacher, and teachers promptly and effectively.
  • Ensuring the general cleanliness of the reception area.
  • Issuance of student's exeats as they leave the compound with the head teacher's consent.
  • Generating School Lunch Registers and Transport registers.
  • Liaising with other departments in the school to ensure that things run smoothly i.e. Main gate, Catering, School Nurse, Maintenance, Cleaning, Administration, and teachers).
  • Secretarial duties as assigned by the Headteacher and the Human Resource Manager.
  • Covering other admin staff members' duties whenever necessary.

Academic qualification and Professional experience:

  • Minimum of 2-3 years of relevant administrative experience in an educational setting, preferably in an international school environment.
  • Diploma in Secretarial Studies, Business Administration, or related field
  • A certificate in Office Management/practice or Administration is desirable.
  • Proficiency in relevant software applications such as Microsoft Office and School Management systems(e.g. ISAMS).

Required Competencies:

  • Strong organizational and time management skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent interpersonal and communication skills
  • Ability to maintain confidentiality, problem-solving, and decision-making abilities
  • Teamwork and collaboration skills
