Job Summary:
The Academic Registrar is the chief custodian of student records and academic governance. This senior administrative role ensures the integrity, accuracy, and security of all academic data, manages examinations, and oversees student admissions and graduations.
Key Responsibilities:
Student Records: Oversee the admission, registration, and maintenance of accurate student records (bio-data, courses, grades).
Examinations Management: Coordinate the entire examination process including scheduling, invigilation, and the secure printing and distribution of examinations.
Certification: Ensure the timely and accurate preparation of academic transcripts, certificates, and other official documents.
Policy Enforcement: Interpret and enforce academic policies, rules, and regulations as stipulated by the institution and regulatory bodies (e.g., TVETA).
Reporting: Prepare and present academic reports, statistical data, and projections to the Principal and the Board of Management.
Compliance: Ensure the institution complies with the regulations of the examining bodies (e.g., KNEC, KASNEB, NITA) and the Ministry of Education.
Timetabling: Oversee the creation of the master academic timetable in collaboration with HODs.
Qualifications & Experience:
- Master’s Degree in Education, Business Administration, or a related field.
- Bachelor’s Degree in a relevant field.
- Minimum of 5 years of administrative experience, with at least 3 years in a senior academic administration role (e.g., Senior Administrator, Dean of Students).
- Must have a clear understanding of TVET and University regulations.
Key Competencies:
- High level of integrity and confidentiality.
- Strong IT skills, including proficiency in Student Management Information Systems (SMIS).
- Excellent organizational and crisis management skills.
