About the Role

Our Client is seeking for an Accountant / Finance Officer to manage payroll, statutory compliance, ensuring workers are paid accurately and on time and that all statutory obligations are met.

Key Responsibilities

  • Process monthly payroll for all daily-rate warehouse staff across Mombasa, Nairobi and Eldoret, ensuring accurate base pay, overtime and statutory deductions.
  • Calculate and apply PAYE, NSSF (Tier I & II), SHIF, Affordable Housing Levy, and NITA levy correctly for every worker, in line with current KRA and statutory rates.
  • Prepare and submit monthly invoices to Client’s by the 5th of the following month, itemizing shift dates, role, headcount, hours worked, daily rate, overtime hours/rate, statutory deductions, management fee and VAT.
  • File statutory returns in a timely manner via the relevant platforms (iTax for PAYE/VAT, NSSF and SHIF portals), and remit contributions by their respective statutory deadlines.
  • Maintain accurate payroll registers, payslips, general ledgers and attendance records in a format ready for Clients’ audit rights and for statutory record-retention requirements.
  • Reconcile invoiced hours and headcounts against site attendance registers and payroll registers before invoice submission to prevent billing discrepancies.
  • Process timely and accurate payments to workers, ensuring wages are paid in full no later than the 5th of the following month, and issue payslips for every worker for every pay period.
  • Maintain and reconcile bank accounts, petty cash, and supplier payments related to the labour contract on a regular basis.
  • Support the HR function with worker grievance-related pay queries, and ensure worker personal and payroll data is handled in strict compliance with the Kenya Data Protection Act 2019.
  • Prepare financial data and supporting documentation for the Vendor Scorecard, KPI reporting, and quarterly performance reviews with Clients’ finance and procurement teams.
  • Keep up to date with changes in Kenyan payroll legislation, tax bands and statutory rates, and adjust payroll processes accordingly to remain compliant.

Qualifications & Experience

  • Minimum CPA Part II or equivalent professional accounting qualification.
  • Minimum 3 years' experience in payroll and finance administration, ideally within a labour outsourcing, logistics, or manufacturing environment.
  • Strong knowledge of Kenyan statutory payroll requirements (NSSF, SHIF, Housing Levy, NITA, PAYE, WIBA).
  • High proficiency in MS Excel and payroll/accounting software.
  • High attention to detail, integrity, and ability to manage confidential worker payroll data in line with the Kenya Data Protection Act 2019.

Mandatory Certifications

  • CPA Part II (minimum) or recognized equivalent finance/accounting qualification.
