Position Overview

Our client is looking for a detail-oriented and organized Accounting & Administrative Support professional to provide hands-on assistance across two core functions — accounting operations and day-to-day administrative coordination. This is a hybrid role that requires someone comfortable with numbers and paperwork in equal measure.

On the accounting side, the primary focus is payroll calculations and supporting the broader accounting function. On the administrative side, this person will handle the operational and organizational tasks that keep the business running smoothly. The ideal candidate is dependable, accurate, and can shift seamlessly between accounting support and administrative responsibilities throughout the day.

Key Responsibilities:

Payroll Support & Calculations

This is the core accounting function of the role.

  • Assist with payroll calculations for employees and/or contractors — including hours worked, overtime, deductions, and net pay
  • Verify timesheets, attendance records, and payroll inputs for accuracy before processing
  • Ensure payroll data is entered correctly into the payroll or accounting system
  • Flag discrepancies, missing data, or unusual entries for review before payroll is finalized
  • Assist with tracking payroll-related records and maintaining organized payroll documentation
  • Support year-end payroll activities including W-2 preparation support and reporting as directed

General Accounting Support

  • Assist with accounts payable and accounts receivable functions — entering invoices, tracking payments, and following up on outstanding balances
  • Perform data entry into the accounting system accurately and consistently
  • Support monthly bank and account reconciliations by gathering and organizing supporting documentation
  • Maintain organized financial records, receipts, and transaction documentation
  • Assist with generating basic financial reports and summaries as directed
  • Support the accounting team with ad hoc tasks and special projects as needed

Administrative Support

  • Manage day-to-day administrative tasks including scheduling, correspondence, and document management
  • Organize and maintain digital and physical files in a clean, consistent, and retrievable format
  • Draft and send professional emails and correspondence on behalf of the team as directed
  • Handle incoming communications — emails, calls, and messages — and route them appropriately
  • Coordinate meetings, appointments, and calendar logistics for the team
  • Prepare documents, reports, presentations, and supporting materials as needed
  • Support general office operations and ensure administrative workflows stay organized and on track

Client & Vendor Coordination

  • Communicate professionally with clients and vendors regarding invoices, payments, scheduling, and general inquiries
  • Follow up on outstanding documents, approvals, or information needed to keep operations moving
  • Maintain organized records of client and vendor interactions and ensure all commitments are tracked and fulfilled

Required Qualifications

  • Experience in an accounting support, bookkeeping, or payroll processing role
  • Solid understanding of payroll concepts including gross pay, deductions, overtime, and net pay calculations
  • Strong data entry skills with a high degree of accuracy and attention to detail
  • Proficiency in Microsoft Excel or Google Sheets for calculations, tracking, and basic reporting
  • Comfortable working with accounting or payroll software — QuickBooks or similar experience is a strong plus
  • Strong organizational skills with the ability to manage both accounting and administrative tasks simultaneously
  • Excellent written and verbal communication skills for internal and client-facing correspondence
  • Self-directed and reliable in a fully remote work environment

Preferred Qualifications

  • Experience with payroll processing software or platforms such as QuickBooks Payroll, Gusto, Paylocity, or Paychex
  • Familiarity with accounts payable and receivable workflows
  • Background supporting a small to mid-sized business in a dual accounting and administrative capacity
  • Accounting certificate, associate degree, or coursework in Accounting, Finance, or Business Administration
  • Experience supporting a principal, owner, or accounting manager in a service-based business environment
