Background

Administration Officer, Kagrc Grade 6 at Kenya Animal Genetic Resources Centre

Responsibilities

Duties and responsibilities will entail assisting in:

  • Initiating the development and implementation of administrative policies, procedures, strategies and programs;
  • Maintaining grounds and buildings of the Centre;
  • Managing transport services including motor vehicle/cycle insurance, repair, maintenance and inspection;
  • Coordinating provision of security services and ensure safety of persons, assets and the work-place environment;
  • Implementing a healthy and conducive work environment; and
  • Provision of office accommodation, equipment, telephone and office supplies services.

May be deployed as Personal Assistant in the Office of the Managing Director to perform the following duties;

  • Organizing and maintaining executive calendars, scheduling meetings, and coordinating appointments to optimize time and priorities
  • Arranging travel itineraries, accommodations, and transportation for executives, ensuring seamless logistics
  • Drafting, editing, and preparing reports, presentations, and correspondence for internal and external stakeholders
  • Serve as the first point of contact for internal and external communications, filtering requests and prioritizing urgent matters
  • Overseeing multiple projects, tracking progress toward milestones, and ensuring deadlines are met
  • Handling sensitive information with a high level of discretion and maintain confidentiality in all matters
  • Anticipating executive needs, solving problems proactively, and acting as a trusted advisor or gatekeeper to enhance productivity.

For appointment to this grade a candidate must have:

  • Bachelors Degree in Public Administration, Sociology, Business Administration or its equivalent qualification from a recognized institution; and
  • Proficiency in computer applications;
