We are looking for a detail-oriented and reliable Business Development Administrator to support the financial and contractual integrity of our experiential division. This role is central to our team's success: you will ensure that every proposal is accurately priced, every contract is properly documented, tax requirements (eTIMS) are met, and no project proceeds without confirmed financial commitments.
This is a highly collaborative role that requires close coordination with the Business Development and Operations teams. We're looking for someone with strong commercial judgment, sound knowledge of Kenyan tax and eTIMS compliance, and the professionalism to uphold consistent standards across the team.
Responsibilities or duties
- Pricing & Margin Review: Review event quotes and project files before client dispatch, confirming that transport, labor, asset costs, and margin targets are appropriately accounted for.
- Contract & SLA Management: Draft, issue, and maintain client contracts, supplier SLAs, and scope documentation to protect the company and support smooth project delivery.
- Tax & eTIMS Compliance: Prepare eTIMS-compliant tax invoices, credit notes, and receipts, and maintain accurate financial records to support auditing.
- Financial Coordination: Confirm payment terms and deposits are in place before projects are handed to Operations, working collaboratively with both teams to keep timelines on track.
- Financial Reporting: Prepare regular revenue, payment tracking, and project-margin reports for the Head of Division.
Qualifications or requirements (e.g., education, skills)
- Degree or Diploma in Finance, Business Administration, Accounting, or a related field, with 3+ years of experience in commercial administration, project finance, or billing.
- Practical experience with KRA eTIMS invoicing and Kenyan commercial contract fundamentals.
- Strong analytical skills, with advanced proficiency in Excel/Google Sheets, invoicing software, and CRM platforms.
- A high degree of integrity, professionalism, and consistency in applying company processes.
- Excellent organizational skills and attention to detail.
- A collaborative mindset and willingness to support field teams, including comfort with occasional outdoor site visits — an interest in and ability to work outdoors is important to success in this role.
Experience needed
3+ years of experience in commercial administration, project finance, or billing.
