About the Role

We are seeking a highly proactive, detail-obsessed Chief Workflow Officer to take full ownership of internal task flow across the company. This person ensures every task is assigned clearly, completed on time, monitored daily, and escalated when necessary. The ideal candidate is independent, solution-oriented, and does not wait for instructions — they identify problems before anyone else notices them and propose improvements based on data and observation. The CWO will have three areas of competency: Task workflow management, Employee support and relations, and Technical support.

Key Responsibilities

  • Oversee and coordinate all internal workflows across Reservations, Accounting, Operations, and Sales to ensure smooth end-to-end execution of work.
  • Assign tasks to specific individuals, clearly define priorities, and strictly enforce deadlines to maintain operational discipline.
  • Track daily productivity, task completion, and workload distribution for all Nairobi-based employees.
  • Maintain a real-time task board to ensure visibility, accountability, and transparency of all active work.
  • Produce regular performance reports covering speed, accuracy, workload balance, delays, and recurring bottlenecks.
  • Identify workflow inefficiencies and proactively recommend and implement process improvements.
  • Lead the rollout of new SOPs, systems, and workflow enhancements, ensuring adoption and compliance across teams.
  • Escalate chronic issues, performance gaps, or operational bottlenecks using clear, data-backed insights.
  • Ensure consistently high levels of accuracy and speed in a fast-paced service environment.
  • Own the onboarding coordination process by introducing new employees to all departments and staff, ensuring smooth integration into the organization.
  • Ensure new hires receive all required equipment, tools, and systems access, and confirm everything is fully set up for effective work.
  • Assign new employees to the appropriate onboarding leads and monitor onboarding progress.
  • Schedule internal meetings, appointments, and company events to support business operations.
  • Manage employee relations matters, address staff concerns, and resolve workplace issues professionally and promptly.
  • Foster a positive, structured workplace culture grounded in accountability, collaboration, and clear communication.
  • Demonstrate strong technical literacy, confidently using workplace software (including Google Docs) and conducting introductory training sessions for employees.
  • Independently troubleshoot common office IT issues (computers, printers, basic network problems) without reliance on external support.

Required Skills

  • 5+ years in workflow management, operations, service delivery, or similar roles.
  • Demonstrated ability to manage multi-department processes.
  • Strong analytical and reporting capabilities.
  • Exceptional organizational skills and attention to detail.
  • Assertive communication style combined with professionalism.
  • Strong ability to enforce accountability and maintain urgency.
  • Ability to work independently with minimal oversight.
  • Experience with Asana / Monday / Trello / CRM systems is an advantage.
