This is a full-time, on-site position based in Nairobi, Kenya. We are seeking a Clinic Manager to oversee the operational, administrative, and financial management of the clinic. This role goes beyond general clinic administration and requires strong operational management skills, including experience with billing processes, inventory control, procurement, and financial reporting.

The Clinic Manager will ensure smooth daily operations while maintaining accurate financial records, inventory tracking, and compliance with internal systems and procedures. You will work closely with the medical team, administrative staff, and management to ensure efficient workflows, high-quality patient care, and disciplined operational processes.

Key Responsibilities

Clinic Operations

  • Oversee daily clinic operations including consultations, procedures, follow-ups, and patient flow.
  • Coordinate schedules for surgeons, physicians, nurses, dietitians, and support staff.
  • Ensure compliance with medical, safety, and regulatory standards.
  • Monitor operational performance indicators such as service turnaround time and clinic utilization.
  • Support the implementation and proper use of clinic systems (EMR/HMIS, scheduling systems).

Financial & Billing Oversight

  • Supervise billing, invoicing, and revenue tracking processes.
  • Ensure proper documentation and reconciliation between invoices, payments, and accounting records.
  • Review supplier invoices and related documentation before payments are processed.
  • Support preparation of monthly financial reports including revenue, expenses, and cost tracking.
  • Maintain organized documentation for audits and management review.

Inventory & Warehousing

  • Oversee inventory of medical supplies, surgical consumables, pharmaceuticals, and clinic equipment.
  • Ensure accurate stock records, bin cards, and system entries.
  • Monitor minimum and maximum stock levels to prevent shortages or overstocking.
  • Supervise GRN (Goods Received Notes) and GIN (Goods Issue Notes) processes.
  • Conduct regular physical stock counts and reconcile any variances.

Procurement & Supplier Management

  • Coordinate procurement planning for medical and operational supplies.
  • Prepare purchase requisitions and purchase orders.
  • Evaluate suppliers based on quality, pricing, and reliability.
  • Follow up on deliveries and maintain supplier records.
  • Ensure procurement processes follow internal approval procedures.

Team & Administrative Management

  • Supervise administrative and support staff.
  • Support recruitment, onboarding, and staff training.
  • Ensure high standards of patient service and address escalated complaints.
  • Maintain clinic policies, SOPs, and operational documentation.

Qualifications

  • Bachelor’s degree in Healthcare Management, Business Administration, Accounting, Supply Chain, or a related field.
  • 3–5 years experience in healthcare or clinical operations management.
  • Practical experience with:
    • clinic operations and patient workflow
    • billing and invoicing systems
    • inventory and warehouse management
    • procurement processes
  • Understanding of financial reporting and operational cost control.
  • Strong proficiency in Microsoft Excel and digital management systems (EMR/HMIS).
  • Strong organizational, analytical, and leadership skills.
