Job Overview
The Clinic Manager will oversee the operational, administrative, and financial management of the clinic. The role requires strong operational leadership, including managing billing systems, inventory control, procurement, and financial reporting.
The successful candidate will ensure smooth daily operations, maintain accurate financial and inventory records, and support the delivery of high-quality patient care while ensuring compliance with clinic systems and procedures.
Key Responsibilities
Clinic Operations
- Oversee daily clinic operations including consultations, procedures, follow-ups, and patient flow.
- Coordinate schedules for surgeons, physicians, nurses, dietitians, and support staff.
- Ensure compliance with medical, safety, and regulatory standards.
- Monitor operational performance indicators such as turnaround time and clinic utilization.
- Support implementation and proper use of clinic systems such as EMR/HMIS and scheduling platforms.
Financial & Billing Oversight
- Supervise billing, invoicing, and revenue tracking processes.
- Ensure proper documentation and reconciliation of invoices, payments, and accounting records.
- Review supplier invoices before payment processing.
- Support preparation of monthly financial reports covering revenue, expenses, and costs.
- Maintain organized documentation for audits and management review.
Inventory & Warehousing
- Manage inventory of medical supplies, pharmaceuticals, surgical consumables, and equipment.
- Maintain accurate stock records and system entries.
- Monitor minimum and maximum stock levels.
- Supervise Goods Received Notes (GRN) and Goods Issue Notes (GIN).
- Conduct regular stock counts and reconcile discrepancies.
Procurement & Supplier Management
- Coordinate procurement planning for medical and operational supplies.
- Prepare purchase requisitions and purchase orders.
- Evaluate suppliers based on quality, pricing, and reliability.
- Follow up on deliveries and maintain supplier records.
- Ensure procurement follows internal approval procedures.
Team & Administrative Management
- Supervise administrative and support staff.
- Assist with recruitment, onboarding, and staff training.
- Maintain high standards of patient service and address complaints.
- Maintain clinic policies, SOPs, and operational documentation.
Qualifications
- Bachelor’s degree in Healthcare Management, Business Administration, Accounting, Supply Chain, or a related field.
- 3–5 years’ experience in healthcare or clinical operations management.
- Experience in clinic operations and patient workflow management.
- Knowledge of billing and invoicing systems.
- Experience in inventory and warehouse management.
- Understanding of procurement processes and financial reporting.
- Proficiency in Microsoft Excel and digital management systems such as EMR/HMIS.
- Strong organizational, analytical, and leadership skills.
