Key Responsibilities

Operational Cost Control

  • Monitor daily transport operating costs, including fuel, maintenance, tyres, repairs, tolls, driver expenses, detention, demurrage, and subcontractor costs.
  • Review transport costs against approved budgets and identify cost variances.
  • Investigate abnormal operational expenses and recommend corrective actions.
  • Ensure all operational costs are accurately allocated to the respective trips, customers, or business units.
  • Monitor vehicle operating cost per kilometre and per trip.

Financial Performance Monitoring

  • Prepare daily, weekly, and monthly Gross Margin (GM) reports for NTD Transport.
  • Monitor revenue, direct costs, Gross Margin, and EBITDA performance against budget.
  • Analyze profitability by customer, corridor, vehicle, route, and business segment.
  • Prepare profitability analysis for management decision-making.
  • Monitor fleet productivity and operational cost trends.

Budgeting & Forecasting

  • Coordinate preparation of the annual Transport Budget.
  • Prepare monthly forecasts for transport revenue, operating costs, and Gross Margin.
  • Monitor budget utilization and recommend cost optimization initiatives.
  • Support management during annual budget reviews and forecasting exercises.

Fleet Cost Analysis

  • Monitor and analyse:
    • Fuel Costs
    • Maintenance Costs
    • Tyre Costs
    • Accident Costs
    • Insurance Costs
    • Driver Costs
    • Fleet Utilization Costs
    • Idle Time Costs
    • Empty Kilometers
    • Detention & Demurrage Costs
  • Develop cost performance dashboards for management review.
  • Recommend initiatives to reduce fleet operating costs and improve profitability.

Billing & Revenue Assurance

  • Review completed trips to ensure all revenue-generating activities are billed accurately.
  • Validate transport invoices before submission to Finance.
  • Monitor unbilled trips and ensure timely revenue recognition.
  • Reconcile operational records with Finance to ensure billing accuracy.
  • Review customer profitability and revenue leakage.

KPI Reporting & Business Intelligence

  • Prepare daily operational dashboards covering:
    • Revenue
    • Gross Margin
    • EBITDA
    • Fleet Utilization
    • Fuel Performance
    • Vehicle Productivity
    • Trip Performance
    • Driver Productivity
    • Cost per Kilometre
    • Cost per Trip
  • Prepare weekly and monthly management reports.
  • Support management presentations and business reviews.

Financial Controls

  • Ensure compliance with company financial policies and internal controls.
  • Review operational expenditures for compliance with approved budgets.
  • Support internal and external audits.
  • Verify supporting documentation for operational expenses.
  • Maintain accurate financial and operational records.

Process Improvement

  • Identify opportunities for cost reduction and operational efficiency.
  • Develop cost monitoring tools and reporting templates.
  • Support implementation of transport management systems

Qualifications & Experience

Key Skills

  • Strong financial and cost accounting skills.
  • Transport costing and profitability analysis.

  • Financial modelling and business analysis.
  • Excellent analytical and problem-solving skills.
  • Advanced Microsoft Excel skills.
  • Knowledge of ERP systems (SAP, IRIS, or similar).
  • Knowledge of Transport Management Systems (TMS).
  • Strong reporting and presentation skills.
  • Excellent communication and stakeholder management.
  • High attention to detail.
  • Ability to work under pressure and meet strict reporting deadlines.

Experience

  • Minimum of three (3) years' experience in Cost Control, Financial Analysis, Management Accounting, or Business Performance within the transport, logistics, fleet management, or supply chain industry.
  • Experience in transport costing, fleet operations, and operational performance reporting is highly desirable.
  • Experience using ERP systems and Business Intelligence reporting tools will be an added advantage.
