Role Objective

Our client in the hospitality industry is seeking to recruit a dynamic and detail-oriented Events Operations Assistant to support the planning and delivery of events. The role focuses on ensuring smooth event execution, maintaining service excellence, and contributing to memorable client experiences.

Core Duties and Responsibilities

  • Support the planning and delivery of events from initial concept through to completion
  • Assist with event setup, coordination during execution, and post-event breakdown
  • Work closely with vendors, suppliers, and service providers to ensure timely delivery of services
  • Prepare and maintain event documentation such as schedules, briefs, contracts, and checklists
  • Engage with clients (under supervision) to capture event requirements and expectations
  • Assist in sourcing venues, décor, equipment, and other event resources
  • Contribute ideas towards event themes, concepts, and overall design
  • Support the preparation of event programs, guest materials, and branded items
  • Assist in managing event communications, including invitations and confirmations
  • Provide support in basic marketing efforts, including social media coordination
  • Track event-related expenses and maintain basic budget records
  • Coordinate logistics such as transport, accommodation, and guest arrangements where necessary
  • Monitor timelines to ensure tasks and milestones are achieved as planned
  • Assist in handling on-site challenges and escalate issues when necessary
  • Participate in post-event reviews, feedback collection, and reporting
  • Maintain organized records of event files and supplier information
  • Contribute ideas to enhance event quality and client satisfaction
  • Perform any other duties as assigned in support of event operations

Job Specifications and Qualifications

  • Diploma in Hospitality, Business Management, Tourism, Communication, or a related field
  • At least two (2) years of experience in events, hospitality, customer service, or a related support role
  • Basic knowledge of event planning and coordination processes
  • Flexibility to work varied hours and travel when required
