The Finance Associate is responsible for ensuring strong financial stewardship of KWCWC’s financial and other resources, including restricted grants and donations, through accurate accounting, budgeting, and financial reporting, statutory compliance, internal controls, and policy implementation. The role supports management decision-making, donor compliance, and institutional sustainability while ensuring adherence to Kenyan labor, tax, and financial laws.

DUTIES AND RESPONSIBILITIES

Financial Accounting & Bookkeeping

  • Maintains complete, accurate, and up-to-date accounting records in accordance with generally accepted accounting principles and standards.
  • Prepares accurate and complete monthly, quarterly and year-end financial statements, i.e., statements of financial position, statements of revenues and expenses, statements of cashflow and statements of changes in fund balances.
  • Compiles and analyzes financial data and transactions to prepare journal and adjusting entries, general ledger postings, and supporting schedules.
  • Performs monthly reconciliation of all general ledger accounts, including but not limited to cash accounts, payroll and payroll-related accounts, receivables, payables and grant revenue and expenses.
  • Resolves accounting discrepancies and investigates variances in a timely and documented manner.
  • Ensures proper filing, documentation, and traceability of all financial transactions.

Financial Reporting

  • Prepares monthly, quarterly, and annual financial reports for management and the Board, and responds to any queries relating to those reports.
  • Supports donor and grant financial reporting requirements, including expenditure tracking and reporting against approved budgets.
  • Prepares financial analysis reports and financial scenario calculations to support management planning and decision-making.
  • Provides timely and accurate financial information to support operational and strategic planning.

Budgeting, Forecasting & Financial Analysis

  • Participates in the development of the annual organizational budget in coordination with departmental heads.
  • Analyzes revenue and expenditure trends and recommends appropriate budget levels.
  • Prepares budget forecasts, revisions, and cashflow projections.
  • Monitors expenditure against approved budgets and flags variances for management action.
  • Conducts scenario analysis to support planning for funding delays, shortfalls, or expansion activities.

Cash Management

  • Prepares and monitors cash flow forecasts to ensure adequate liquidity for operations and specific grants/activities.
  • Monitors bank balances and anticipated inflows and outflows.
  • Coordinates with banks on operational matters, mandates, and transaction follow-ups.
  • Supports management in optimizing cash utilization while ensuring compliance with internal controls

QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s degree in accounting, finance, commerce, or a related field
  • Member of ICPAK; CPA (K), ACCA or equivalent professional qualification (completed or in progress) is an added advantage.
  • Strong knowledge of Kenyan tax, labour, and statutory compliance requirements.
