Key Responsibilities

Financial Operations and Transaction Processing

  • Process all approved payments, including supplier invoices, staff reimbursements, per diems, and statutory payments in a timely and accurate manner.
  • Prepare and post accounting entries in the accounting system, ensuring correct coding by project, donor, and budget line.
  • Manage petty cash and field advances, including issuance, tracking, reconciliation, and retirement.
  • Maintain up-to-date records for accounts payable and receivable.
  • Support bank transactions, including preparation of payment schedules and bank instructions as delegated.

Program Financial Support

  • Support the Program Financial Accountant in tracking project expenditures against approved budgets.
  • Assist in preparing project level financial schedules and supporting documents for donor reports.
  • Review payment requests from program teams to ensure compliance with budgets, donor rules, and internal controls before processing.
  • Monitor burn rates and flag variances, anomalies, or potential budget overruns to the Program Financial Accountant.
  • Support financial planning for trainings, workshops, and field activities including cost verification and documentation.

Financial Controls, Compliance, and Documentation

  • Ensure all financial transactions are fully supported with complete, accurate, and properly approved documentation.
  • Maintain organized and auditable financial records, both physical and digital, in line with donor and organizational requirements.
  • Support compliance with donor regulations, including, foundations, and other institutional donors as applicable.
  • Assist in preparing for internal and external audits, including retrieval of documents and audit schedules.
  • Ensure adherence to EAMDA’s financial policies, procedures, and delegation of authority matrix.

Reconciliations and Financial Monitoring

  • Perform regular bank, petty cash, and mobile money reconciliations and resolve discrepancies promptly.
  • Support monthly and quarterly financial close processes by preparing schedules and reconciliations.
  • Track outstanding advances, payables, and receivables, and follow up for timely resolution.
  • Assist in maintaining fixed asset registers and tracking asset movements.

Statutory and Tax Compliance

  • Support preparation and filing of statutory returns, including PAYE, NHIF, NSSF, withholding tax, and VAT where applicable.
  • Ensure compliance with local tax laws and timely submission of statutory payments and documentation.
  • Maintain statutory records and support statutory audits or inspections as required.

Coordination and Internal Support

  • Work closely with program teams to support budget understanding, cost eligibility, and financial documentation requirements.
  • Liaise with procurement and administration staff to ensure alignment between procurement processes and financial controls.
  • Provide financial information and clarifications to internal stakeholders as needed.
  • Support continuous improvement of finance processes, systems, and controls.

Required Qualifications and Experience

Education

  • Bachelor’s degree in Finance, Accounting, Commerce, or a related field.

Professional Qualifications

  • Certified Public Accountant (CPA K-Finalist)

Experience

  • Minimum of 5 to 7 years of relevant experience in a finance or accounting role, preferably within an NGO, donor-funded project, or development organization.
  • Demonstrated experience supporting project-based financial management and donor compliance.
  • Experience working with accounting software and Excel-based financial tracking tools.
