Responsibilities or duties
Financial Record-Keeping & Bookkeeping
- Maintain accurate and up-to-date records of all financial transactions in the accounting system (ERP/accounting software).
- Process and post journal entries, invoices, payments, and receipts in accordance with approved accounting policies.
- Ensure all transactions are properly coded, authorised, and supported by adequate documentation.
- Maintain organised filing systems for all financial records, vouchers, and supporting documents.
Accounts Payable & Receivable
- Process supplier invoices, verify against purchase orders and delivery notes, and prepare payment runs for Finance Manager approval.
- Maintain an accurate creditors ledger and ensure all supplier payments are made within agreed terms.
- Raise sales invoices and follow up on outstanding receivables; maintain a debtors ledger and provide aged debt reports to the Finance Manager.
- Reconcile supplier and customer accounts and resolve discrepancies promptly.
Bank & Cash Management
- Perform daily and monthly bank reconciliations for all Zoomlion Kenya bank accounts.
- Manage petty cash float, process petty cash payments, and conduct regular cash counts.
- Prepare and submit bank payment instructions and ensure all electronic fund transfers are properly authorised.
- Monitor bank balances and flag funding requirements to the Finance Manager.
Payroll Support
- Assist the Finance Manager in processing the monthly payroll, ensuring accuracy of staff salaries, allowances, and deductions.
- Compute and remit statutory deductions including PAYE, NSSF, NHIF/SHIF, and NITA contributions within KRA and statutory deadlines.
- Maintain payroll records and reconcile payroll accounts monthly.
- Respond to staff queries regarding pay slips and statutory deductions.
Tax & Statutory Compliance
- Prepare and submit monthly and annual statutory returns including VAT, PAYE, withholding tax, and corporate tax schedules to KRA via iTax.
- Maintain a tax compliance calendar and ensure all filings and payments are made on time to avoid penalties.
- Liaise with the Finance Manager and external tax advisors on tax planning and compliance matters.
- Maintain up-to-date knowledge of Kenyan tax legislation and regulatory requirements relevant to the organisation.
Financial Reporting
- Prepare monthly management accounts schedules including trial balance, income and expenditure summaries, and balance sheet reconciliations for Finance Manager review.
- Compile and analyse budget-versus-actual reports and highlight variances for management attention.
- Support the preparation of quarterly and annual financial statements.
- Prepare ad hoc financial analyses and reports as requested by the Finance Manager or Country MD.
Procurement & Asset Support
- Maintain the fixed asset register; record asset acquisitions, disposals, and depreciation in line with company policy.
- Support the procurement process by verifying supplier quotations, purchase orders, and goods received notes against approved budgets.
- Coordinate with the Procurement and Operations teams to ensure financial documentation is complete for all purchases.
Audit & Internal Controls
- Support internal and external audit processes by preparing schedules, providing supporting documentation, and responding to auditor queries.
- Ensure adherence to internal financial controls and escalate any control weaknesses or irregularities to the Finance Manager.
- Assist in implementing audit recommendations and improving financial processes and controls.
- Perform any other duties as assigned by the Finance Manager.
Qualifications or requirements (e.g., education, skills)
- Bachelor's degree in Finance, Accounting, Commerce, or a related field.
- CPA (K) Part II or above required; CPA (K) finalist or full member is strongly preferred.
- Membership of ICPAK (Institute of Certified Public Accountants of Kenya) is an advantage.
Experience needed
- Minimum of 3–5 years of experience in a finance, accounting, or bookkeeping role.
- Proven experience managing KRA statutory filings (VAT, PAYE, withholding tax) via the iTax platform.
- Hands-on experience with accounting/ERP software (Sage, QuickBooks, SAP, Oracle, or equivalent).
- Experience in a transport, logistics, waste management, or service industry environment is an advantage.
Technical Skills
- Strong bookkeeping and accounts reconciliation skills.
- Proficiency in KRA iTax platform and Kenyan tax legislation (VAT Act, Income Tax Act, Employment Act).
- Advanced MS Excel skills (pivot tables, VLOOKUP, financial modelling).
- Experience with payroll processing and statutory deduction computation.
- Familiarity with IFRS or IPSAS accounting standards.
