Overview:

We are looking for a Finance & Operations Manager to oversee the financial management and operational administration of Westerwelle Startup Haus Mombasa. This role is responsible for ensuring the hub runs efficiently, maintains strong internal systems, and meets all financial, legal, tax, and statutory obligations.

The Finance & Operations Manager will take ownership of accounting, financial reporting, budgeting, compliance, procurement, and day to day operational processes. The role also supports programme teams with budgeting and financial documentation, while ensuring that administrative systems and facility operations are well coordinated and aligned with organizational standards.

The Finance & Operations Manager reports directly to the Country Director, as well as the Global Finance Team in the Berlin office.

Responsibilities:

Financial Management

  • Oversee the day-to-day financial operations, including accounting, payments, invoicing, record keeping, and budget tracking.
  • Prepare regular financial reports and support budgeting, forecasting, and financial planning.
  • Ensure accurate financial documentation and support programme-related financial administration and reporting.
  • Review and strengthen financial processes to support efficient and compliant operations.

Compliance and Audit

  • Ensure compliance with Kenyan tax, legal, and statutory requirements.
  • Coordinate audits and maintain accurate, well-organised financial and administrative records.
  • Support the implementation and continuous improvement of internal policies and procedures.

Operations and Administration

  • Oversee operational and administrative processes to ensure the hub runs smoothly and efficiently.
  • Support procurement, vendor coordination, facility upkeep, and general office administration.
  • Maintain effective systems and tools for finance and operations, including accounting software such as QuickBooks and other operational platforms.
  • Contribute to creating a professional, well functioning environment for members, partners, and the wider community.

Requirements

  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field. Professional qualifications such as CPA or ACCA are an advantage.
  • At least 4 to 5 years of relevant experience in finance, accounting, operations, or administration.
  • Strong understanding of Kenyan financial regulations, tax requirements, and compliance.
  • Experience using accounting software such as QuickBooks or similar tools.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Experience working in a startup, innovation hub, NGO, or similar fast paced environment is an advantage.
  • Fluency in English is required. Knowledge of Swahili is an advantage.
