Role Overview

We are seeking a dynamic and organized Front Office Executive to manage our reception area and provide administrative support. The ideal candidate will be the first point of contact for visitors and callers, ensuring a professional and welcoming environment.

Responsibilities

  • Greet and welcome visitors in a professional and friendly manner.
  • Answer and direct phone calls, take messages, and manage correspondence (emails, mail).
  • Manage the reception area, ensuring it is tidy and presentable.
  • Schedule appointments and manage calendars for the team.
  • Provide administrative support, including filing, photocopying, and data entry.
  • Assist with event coordination and logistics as needed.
  • Maintain a database of contacts and visitor logs.
  • Handle inquiries from stakeholders, donors, and the public.

Qualifications and Requirements

  • High school diploma or equivalent; a certificate in office administration or a related field is a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • Ability to multitask and prioritize tasks effectively.
  • A positive attitude and a customer-service oriented approach.

Experience

Minimum of 1-2 years of experience in a front office or administrative role.

Work Environment

This is a full-time position based at our offices in Nairobi. You will be part of a dedicated team working in a supportive and professional environment.
