Role Description

Outrival HR Solutions & Consultancies Ltd is recruiting for the position of a Front Office Officer on behalf of our esteemed client based in Nairobi, Kenya. The ideal candidate will serve as the first point of contact for the organization, ensuring a welcoming and professional experience for clients, visitors, and staff. This role requires a highly organized individual with strong administrative capabilities, excellent communication skills, and a keen eye for detail.

Key Responsibilities:

  • Client Engagement: Provide a warm and professional welcome to clients, visitors, and employees, ensuring an optimal first impression.
  • Communication Management: Efficiently handle incoming calls, emails, and correspondence, directing inquiries to the appropriate parties with precision.
  • Reception Oversight: Maintain a well-organized and inviting reception area, reflecting the professional standards of the organization at all times.
  • Administrative Support: Execute various administrative tasks, such as filing, data entry, and record management, to enhance operational efficiency.
  • Scheduling Coordination: Organize appointments, meetings, and conference room bookings to facilitate smooth workflow across teams.
  • Documentation Preparation: Assist in the development of reports, presentations, and other essential office documents as required.
  • Cross-Departmental Support: Collaborate with HR and other departments by providing clerical and administrative assistance as necessary.

Qualifications:

  • Bachelor's degree or diploma in Business Administration, Office Management, or related field.
  • 3+ years of experience in front office operations.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Professional demeanor, friendly, and approachable.
  • Ability to work independently and as part of a team.
