To maintain our hospitality standards as we expand, we are looking for a highly professional, well-groomed, and articulate Front Office Receptionist to become the primary face and voice of our resort.
JOB PURPOSE
The Front Office Receptionist will manage the reception area, greet arriving guests, handle reservation inquiries, and coordinate switchboard operations. As the initial point of contact, this role requires a person with excellent customer-care etiquette, exceptional organizational skills, and a polished professional presence to handle high-traffic weekend rushes and corporate guests seamlessly.
KEY RESPONSIBILITIES
- Guest Relations & Front Desk Management: Warmly welcome guests, visitors, and clients upon arrival; handle inquiries professionally and provide accurate details regarding resort packages, entry fees, and event venues.
- Call & Communication Coordination: Manage the central telephone switchboard efficiently, route inbound calls to relevant departments, take detailed messages, and manage general business email correspondences.
- Reservations & PMS Coordination: Assist guests with booking inquiries, manage walk-in reservations, input client details accurately into the Point of Sale (POS) or Property Management System (PMS), and collaborate with the supervisor team for smooth floor coordination.
- Billing & Financial Accountability: Process initial client payments for entry or reservations, issue accurate automated receipts, and handle shift cash reconciliations with total precision.
- Administrative Support: Ensure the front office lobby remains immaculate and well-presented at all times; compile daily guest traffic reports and assist management with clerical tasks.
MINIMUM QUALIFICATIONS & EXPERIENTIAL REQUIREMENTS
- Education: Diploma or Certificate in Front Office Operations, Hospitality Management, Customer Service, Public Relations, or a related business field from a recognized institution.
- Experience: Minimum of 1 to 2 years of active front desk, receptionist, or customer care hospitality experience in a busy hotel, corporate venue, or resort setting.
- Technical Skills: Strong operational familiarity with modern hospitality POS / PMS systems, automated billing software, and standard MS Office applications (Word, Excel).
- Grooming & Presentation: Excellent personal presentation, professional corporate grooming standards, and an inherently warm and welcoming customer-facing disposition.
CORE COMPETENCIES
- Flawless verbal and written communication command in both English and Kiswahili languages.
- Outstanding multitasking capabilities and ability to manage multi-line phone channels calmly under pressure.
- High emotional intelligence, attentiveness, and rapid conflict-resolution abilities for guest complaints.
- Excellent team alignment and readiness to adapt to flexible hospitality shift schedules including weekends and public holidays.
