Grants & Program Finance Officer
Purpose of the Role
The Grants & Program Finance Officer is responsible for donor financial management, grant budgeting, program financial planning, financial analysis, forecasting, and financial reporting.
The role ensures that donor investments are translated into measurable program results and that program teams have accurate financial information to support implementation.
Key Responsibilities
Grant Financial Management
- Manage donor budgets and expenditure tracking.
- Monitor grant burn rates.
- Prepare donor financial reports.
- Review grant compliance requirements.
- Support donor audits and financial reviews.
Budgeting & Forecasting
- Develop annual budgets.
- Develop grant budgets.
- Prepare quarterly forecasts.
- Support budget revisions and reallocations.
Program Financial Analysis
- Conduct variance analysis.
- Analyze cost per beneficiary.
- Analyze county-level expenditures.
- Track program efficiency indicators.
- Produce financial dashboards.
Proposal Development
- Develop proposal budgets.
- Prepare budget narratives.
- Conduct cost projections.
- Support resource mobilization efforts.
Management Reporting
- Prepare monthly management accounts.
- Develop financial presentations.
- Support Board and donor reporting.
- Produce cash flow forecasts.
Program Support
- Train staff on budget management.
- Support county work planning.
- Support procurement planning.
- Monitor budget utilization.
Key Performance Indicators
- Donor Reporting: 100% donor reports submitted on time.
- Budget Management: Variance maintained within approved thresholds.
- Forecasting: Quarterly forecasts completed accurately.
- Grants Management: 100% compliance with donor budget requirements.
- Program Support: Monthly budget utilization reports submitted.
Qualifications
- CPA-K Required
- Bachelor’s Degree in Accounting, Finance, Commerce, Economics or Business Administration
- 4–5 years experience in donor-funded grants management
- Strong budgeting and financial analysis experience
- Experience developing donor reports and proposal budgets
- Advanced Excel and financial modelling skills
- Proficiency in QuickBooks
