Our client, Captivate Africa, is seeking to hire an HR Assistant to support the management, compliance, and administration of its casual, field, activation and promoter workforce.

The role will primarily focus on workforce data management, attendance monitoring, process compliance, record management, and wage-sheet reconciliation. The successful candidate will support the accurate administration of up to 150 casual workers during peak periods and work closely with Project Managers and Accounts to ensure workforce records are accurate and up to date.

Key Responsibilities

  • Verify recruitment and onboarding documentation before casual workers are deployed.
  • Monitor daily check-in and check-out records and identify attendance discrepancies.
  • Verify attendance, timesheets, deployment records, and workforce data.
  • Prepare and reconcile casual-worker wage sheets for review and payment processing.
  • Track absenteeism, lateness, incomplete system use, and other process breaches.
  • Maintain accurate, organized, and confidential casual-worker records and databases.
  • Manage worker offboarding records, including final attendance and payment-related information.
  • Prepare daily and weekly workforce exception reports and summaries.
  • Identify data discrepancies and escalate issues to the relevant Project Manager for resolution.
  • Maintain alignment between workforce-management systems, spreadsheets, and supporting records.
  • Support compliance checks, internal reviews, and improvements to workforce processes.

Qualifications & Experience

  • Diploma or Bachelors Degree in Human Resources, Business Administration, or a related field.
  • 1–3 years of experience in HR administration, workforce coordination, administration, payroll support, accounting, or data management.
  • Strong proficiency in Microsoft Excel and/or Google Sheets, including formulas, filtering, data validation, lookups, and reconciliation.
  • Experience using attendance, workforce-management, or HR systems.
  • Experience supporting casual workers, field teams, activations, or promoter teams will be an added advantage.
