PURPOSE OF THE ROLE
Our Client is rolling out a new Human Resource Information System (HRIS) to strengthen and streamline its HR operations. The HR Intern will play a hands-on role in supporting this implementation, working closely with the HR team and the system developer to ensure a smooth transition, accurate data, and a well-functioning system going forward. Beyond the HRIS project, the Intern will support the day-to-day running of the HR department, including maintaining an up-to-date tracker of employee letters and contract renewals, and assisting with general HR tasks as required. This is a great opportunity for a HR graduate to gain practical, varied exposure to HR operations within a fast-paced organization.
KEY RESPONSIBILITIES
HRIS Implementation: Support the rollout of the new HRIS by liaising directly with the developer/vendor to relay requirements, test features, and troubleshoot issues as they arise.
Assist in preparing, cleaning, and migrating employee data into the new system, ensuring accuracy and confidentiality throughout.
Support user acceptance testing of the HRIS and help train HR staff and employees on its use once live.
Monitor the system post-launch to help ensure smooth day-to-day functioning, escalating technical issues to the developer where necessary.
Employee Records & Renewals: Maintain and regularly update a tracker of employee letters, contracts, and renewal dates, flagging upcoming expirations to the HR team in good time.
Draft and prepare standard HR letters and correspondence (e.g. offer letters, confirmation letters, contract renewals) for review and sign-off.
General HR Support: Provide day-to-day administrative support to the HR department, including filing, record-keeping, and data entry.
Assist with onboarding and offboarding activities for staff.
Undertake any other duties as may be reasonably assigned by the HR department.
