The HRIO is responsible for ensuring accurate, timely, and complete collection, entry, management, and reporting of health-related data from health facilities and community programs. The role supports data quality assurance, reporting compliance, and the use of data for program improvement. The HRIO works closely with program, clinical, and MEL teams to ensure data systems are functioning effectively and aligned with national and donor reporting requirements.
- Collect and compile data from health facility registers, electronic medical records (EMRs), community tools, and partner reports
- Ensure timely and accurate data entry into databases and reporting systems such as DHIS2, DATIM, EMRs, or Excel-based templates
- Maintain up-to-date physical and digital records for program monitoring
- Clean, validate, and maintain datasets to ensure consistency, completeness, and integrity.
- Organize and archive data according to project requirements and confidentiality protocols.
- Support backup and recovery of data to prevent loss and ensure data security
- Conduct routine data quality checks (e.g., verification, consistency reviews) at the facility or community level.
- Support data quality improvement (DQI) activities including on-site mentorship, data review meetings, and corrective action planning.
- Assist in the implementation of SOPs for data collection, entry, and validation.
- Generate routine data summaries and support the production of monthly, quarterly, and annual reports.
- Assist in the preparation of performance dashboards, indicator reports, and data visualizations for internal and external use.
- Ensure that reports submitted to donors and government stakeholders are complete, timely, and accurate
- Participate in data review meetings with health facility and program staff to identify trends and programmatic gaps
- Provide data support for program planning, supervision, and decision-making.
- Help track key performance indicators and support real-time monitoring and evaluation efforts.
- Provide basic training to facility and community staff on data tools, reporting procedures, and data use.
- Work closely with facility M&E focal persons and national/district health information teams to align system
- Serve as the link between program staff and SI/M&E teams on all data-related tasks.
- Proficiency in Microsoft Excel (including formulas, pivot tables)
- Familiarity with data analysis or visualization tools (e.g., Power BI, Tableau).
- Basic data analysis and reporting skills
- Diploma in health records and information
- Bachelor’s degree in health records and information will be an added advantage
- Valid license from the relevant professional boards, such as AMRO-K or the HRIM Board.
