About the Role
Signs Media Kenya Limited is seeking a motivated and detail oriented Human Resource & Administration Intern to join our team. This is a training based internship designed to provide practical exposure to HR and administrative functions within a professional work environment.
The successful candidate will undergo short term structured training and mentorship while supporting day to day HR and administrative operations, with the expectation of quickly taking on key responsibilities within the department. The role is intended to develop the candidate into a Human Resource & Administration Officer, with the opportunity to transition into a full time position based on performance and organizational needs.
Key Responsibilities
Human Resource Support
- Assist in drafting, reviewing, and updating HR policies, employment contracts, and internal HR communications
- Maintain and update employee records and HR databases (both physical and electronic)
- Support the recruitment process including advertising vacancies, shortlisting candidates, scheduling interviews, and onboarding
- Coordinate new employee orientation and ensure all onboarding documentation is properly completed
- Assist in preparation and processing of monthly payroll and staff benefits
- Address employee inquiries, explain company policies, and support grievance and disciplinary procedures
- Maintain records of performance appraisals, disciplinary actions, and employee grievances
- Organize and support staff trainings, performance reviews, and HR related meetings
- Prepare HR related reports such as staffing levels, staff turnover, and training reports
Administrative Support
- Provide general administrative support to management
- Organize and maintain company records, files, and correspondence
- Manage office supplies, stationery, and coordinate procurement when required
- Coordinate logistics for internal meetings, trainings, and official events
- Take and circulate minutes for HR and administrative meetings
- Ensure proper organization and maintenance of office documentation
General Responsibilities
- Maintain confidentiality of all HR and company records and sensitive information
- Support smooth day to day HR and administrative operations within the organization
- Perform any other related duties as assigned by the Directors
Qualifications
- Bachelor’s Degree in Human Resource Management, Business Administration, or a related field
- Must have completed and graduated from university
- Basic knowledge of HR practices and Kenyan labour laws will be an added advantage
- Prior exposure or experience in HR and administrative functions such as recruitment support, employee records management, payroll support, or office administration will be an added advantage
- Candidates who are available to start immediately will have an added advantage
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint)
Skills and Competencies
- Good communication and interpersonal skills
- Strong organizational and time management abilities
- Attention to detail and accuracy
- Ability to maintain confidentiality and handle sensitive information
- Ability to learn quickly and take initiative
- Ability to work independently and as part of a team
