Job Summary:
The Human Resource Assistant provides administrative support to the Human Resources department in all key functional areas, including recruitment, onboarding, record maintenance, payroll processing, and employee services. This role is essential for ensuring the smooth and efficient operation of the HR office and requires a highly organized, discreet, and proactive individual.
Key Responsibilities:
1. Recruitment & Onboarding Support:
- Assist with the full-cycle recruitment process by posting job advertisements on various platforms.
- Screen resumes and schedule interviews with candidates.
- Prepare offer letters, employment contracts, and new hire documentation.
- Coordinate and facilitate the new employee onboarding process (orientation schedules, paperwork, etc.).
2. Record Maintenance & Data Management:
- Maintain accurate and up-to-date physical and digital employee records and HR files.
- Input and manage data in the Human Resource Information System (HRIS).
- Prepare and process HR-related documents, such as employment verification letters.
3. HR Administrative Support:
- Serve as a first point of contact for basic employee queries regarding policies, benefits, and procedures.
- Assist in the coordination of HR projects, meetings, and training seminars.
- Manage the HR department's calendar, schedule meetings, and order office supplies.
4. Benefits & Payroll Administration:
- Support the administration of employee benefits programs (health insurance, pensions, etc.).
- Assist the payroll department by providing relevant employee information, such as changes in status, leaves of absence, and overtime hours.
5. Compliance & Policy:
- Help ensure company policies and procedures are up-to-date and in compliance with local labor laws.
- Assist in the preparation of reports for management (e.g., headcount, turnover).
Qualifications and Skills:
- Education: Diploma or Bachelor’s degree in Human Resources Management, Business Administration, or a related field.
- Experience: 1-2 years of experience in an HR administrative or assistant role is preferred. Fresh graduates with relevant internship experience may be considered.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with HRIS or ATS software is a strong advantage.
- Key Competencies:

- Strong verbal and written communication abilities.
- High level of discretion and confidentiality.
- Attention to detail and problem-solving skills.
- Ability to work effectively both independently and as part of a team.
