Our client is recruiting for a Human Resource & Office Administration Officer to support the company in all HR and administrative functions including recruitment, employee relations, payroll support, performance management, compliance with Kenyan labour laws, office administration, and general staff welfare. The candidate will ensure smooth day-to-day office operations and effective human resource management.
- Coordinate recruitment processes including advertising vacancies, shortlisting candidates, scheduling interviews, and conducting reference checks.
- Prepare employment contracts and onboarding documentation.
- Facilitate orientation and induction for new employees.
- Maintain accurate employee records and HR databases.
- Ensure proper filing of personnel documents and statutory records.
- Prepare HR reports including headcount, leave status, absenteeism, and turnover reports.
- Support payroll preparation by collecting attendance, overtime, and leave data.
- Ensure compliance with Kenyan statutory requirements including: NSSF, SHA, PAYE, NITA
- Assist in statutory remittances and reconciliation.
- Handle employee inquiries and grievances professionally.
- Support disciplinary and grievance procedures in line with company policy and Kenyan labour laws.
- Promote positive employee engagement and workplace culture.
- Monitor employee attendance, shifts, overtime, and leave balances.
- Ensure proper administration of annual leave, sick leave, maternity/paternity leave, and off days.
- Coordinate staff performance appraisal processes.
- Assist in identifying training needs and organizing staff training programs.
- Maintain employee training records.
- Support implementation of workplace health and safety policies.
- Ensure compliance with OSHA regulations and manufacturing safety standards.
- Participate in safety committee activities where applicable.
- Manage office supplies and procurement of stationery and administrative items.
- Coordinate office maintenance, utilities, and cleanliness.
- Supervise support staff such as cleaners,
- Manage company correspondence, filing systems, and document control.
