Role Overview

Under the direct supervision of the HROD Manager, the Human resources Assistant is the focal person providing administrative support on all HR functions. The Human Resources Assistant will assist in the Human Resources activities including recruitment and orientation, personnel files, staff benefits and payroll.

Key Accountabilities / Responsibilities:

  • Under supervision of the HROD Manager, managing personal files in order to ensure accuracy, compliance and on-time payments.
  • Assist in general with human resource activities for employees (job adverts, interviews, recruitment, contracts, personnel files, payroll and benefits).
  • Ensure the updating of staff data in the HRIS software
  • Ensure all staff have ID Cards and maintain a tracking sheet of same.
  • Maintain and update tracking sheets for all staff related benefits, vacation and sick leave, performance evaluation and annual increases, orientation, employment contracts, etc
  • Updating the HR database and personal files to facilitate HR processes management.
  • Ensure all staff have employment contracts in conformity with legal requirements including specific amendments, when necessary, to ensure local labour and law compliance.
  • Preparing relevant documents for all staff, editing and updating the necessary data, to ensure the punctuality and accuracy of staff payroll.
  • Following up of all expiring service level agreements and inform the HROD Manager to leave enough time to arrange a renewal or look for some other alternative.
  • Making all administrative information available to the staff (postings, meetings, etc.), supporting the HROD Manager in preparing documents and assisting in meetings upon request.
  • Additional HR/ Admin tasks delegated.

Person Specification:

  • Bachelor’s degree in human resources, social sciences, business administration or related.
  • Previous experience working with an international NGO in a cross-cultural setting, is an added advantage
  • Previous team experience and knowledge of team dynamics desirable
  • Knowledge of HR functions (pay & benefits, recruitment, training & development etc.)
  • Understanding of labor laws and disciplinary procedures
  • Proficiency in MS Office; knowledge of HRIS is a plus.
