Background

Our client is an engineering-led supplier of pumping systems, prime movers, power transmission products, and industrial equipment, supporting factories, institutions, contractors, and distributors with technical products and engineered solutions. The organization provides warranty support, maintenance, repairs, and ongoing technical services.

This position plays a critical role in maintaining inventory accuracy by ensuring that physical stock in the warehouse aligns with records in the ERP system. The Stock, Variances & BOM Consumable Costing Assistant works closely with warehouse and engineering teams to maintain accurate stock counts, investigate inventory discrepancies, support product costing, and assist in maintaining accurate Bills of Material (BOMs).

The role involves a combination of hands-on warehouse verification, analytical costing work, and operational coordination. It is well suited for individuals who thrive in structured environments and enjoy working within warehouse and production operations.

Key Responsibilities:

Daily Stock Verification & Physical Control

  • Perform daily stock counts and cycle counts in the warehouse.
  • Investigate and resolve physical stock variances.
  • Validate alignment between GRNs, Purchase Orders, and physical quantities received.
  • Ensure all stock movements (issues, transfers, returns, and scrap) are properly recorded.
  • Identify operational errors such as incorrect picking, mis-binning, or incorrect unit-of-measure usage.

Variance Analysis & Stock Adjustments

  • Prepare draft stock adjustment entries in the ERP system for review and approval.
  • Reconcile differences between physical and system stock quantities.
  • Investigate and resolve negative stock positions.
  • Provide variance summaries and explanations to the Finance team.

Consumable Costing

  • Track and analyze high-turnover consumables that are not included in Bills of Material.
  • Support costing adjustments for consumables under guidance from senior finance personnel.
  • Assist in allocating consumable costs to manufacturing or production orders where applicable.

BOM Accuracy & Engineering Support

  • Collaborate with engineering teams to maintain accurate Bills of Material.
  • Compare actual material usage against BOM assumptions.
  • Identify production losses, scrap levels, or yield inconsistencies.
  • Support ongoing improvements to ensure BOMs reflect actual operational practices.

Import Forecasting for Consumables

  • Analyze consumption trends to identify items suitable for direct import procurement.
  • Work with procurement and sales teams to forecast long-lead purchase requirements.
  • Recommend reorder strategies for imported versus locally sourced materials.

Documentation & Compliance

  • Maintain accurate records of stock counts, variance reports, and adjustment documentation.
  • Ensure proper filing and audit trails for warehouse financial activities.
  • Support internal compliance and operational discipline in inventory processes.

Key Requirements & Qualifications:

Education

  • Diploma or Bachelor’s Degree in Supply Chain Management, Procurement, Accounting, Finance, Business Administration, or a related field.

Experience

  • At least 1–2 years of experience in inventory control, warehouse operations, stock management, or a related operational/finance role.
  • Experience working with ERP systems (preferably Odoo or similar inventory systems) is an added advantage.
  • Exposure to inventory reconciliation, stock counting, or warehouse operations is desirable.

Key Requirements

  • Strong attention to detail and accuracy in stock verification and data recording.
  • Good analytical skills, particularly in identifying and investigating stock variances.
  • Ability to work closely with warehouse and engineering teams in a hands-on operational environment.
  • Proficiency in Microsoft Excel and other Microsoft Office tools.
  • Strong organizational and documentation skills.
  • Ability to work independently, follow structured processes, and meet deadlines.
  • Good communication and coordination skills.
  • Perform daily stock counts and cycle counts in the warehouse.
  • Investigate and resolve physical stock variances.
