About the Role

The Leasing Receptionist serves as the first point of contact for clients, tenants, and visitors. This role supports the leasing team by handling front-desk operations, managing inquiries, coordinating viewings, and maintaining accurate records. The ideal candidate is organized, customer-focused, and able to multitask in a fast-paced property management environment.

Responsibilities

  • Greet and assist walk-in clients, prospects, and visitors in a professional manner
  • Respond to phone calls, emails, and online inquiries regarding available units and leasing procedures
  • Provide accurate information about properties and leasing requirements
  • Handle customer concerns and escalate issues to the Leasing Manager when necessary
  • Collect and review tenant applicant documents before submission to the leasing team
  • Maintain up-to-date records of vacant units, inquiries, and viewing schedules
  • Manage incoming and outgoing mail, deliveries, and office supplies
  • Prepare basic reports such as inquiry logs, viewing schedules, and weekly activity summaries
  • Support office administrative tasks as assigned

Preferred Skills & Experience

  • Degree or Diploma in Business Administration, Customer Service, Real Estate, or related field
  • Minimum of 1-2 years of experience in reception, customer service, or administrative roles (experience in real estate or property management is an added advantage)
  • Excellent communication and interpersonal skills
  • Strong organization and time-management abilities
  • Proficiency in MS Office (Word, Excel, Outlook) and basic CRM or property management software
  • Professional appearance and courteous demeanor
  • Recent passport photo required on CV

  • Client satisfaction ratings and feedback
  • Response time to inquiries and calls
  • Accuracy of records and documentation
  • Number of viewings coordinated successfully
  • Quality of customer service delivery
