COMPANY PROFILE
A well-established reputable tour destination management company based in Nairobi, Kenya is seeking to recruit a dynamic, experienced, and results-driven Logistics & Operations Assistant to join our growing team.
Job Purpose
To support the smooth planning, coordination, and execution of tours by handling logistics, supplier coordination, and operational administration to ensure excellent guest experiences.
Key Responsibilities
1. Tour Logistics Coordination
- Work closely with the General Manager to;
- Assist in planning and organizing tour itineraries and daily operations
- Coordinate transport arrangements (vehicles, drivers, transfers)
- Confirm accommodation bookings and special requests with hotels/lodges
- Ensure all logistics align with confirmed itineraries
- Ensure all clients are briefed on arrival and debriefed on departure.
- Ensure there is always water in the cars as required
- Ensure the cars and the guides are clean, and the guides are fully in company uniforms
- Ensure the airport reps are always in the airport for all arrivals
- Ensure all cars on our assignments are fully branded with our stickers and meet other company requirements
- Ensure Hotel/arrivals check-ins for guests are smooth.
2. Documentation & Administration
- Work closely with the tour consultants to prepare and deliver gift hampers, safari documents etc.,
3. Operations Support (During Tours)
- Provide real-time support for ongoing tours
- Handle last-minute changes, emergencies, or disruptions
- Coordinate with guides and drivers to ensure smooth service delivery
4. Reporting & Compliance
- Assist in preparing operational reports
- Ensure compliance with company policies and safety standards
- Monitor service quality and report inconsistencies
Qualifications & Requirements
- Diploma or Degree in Tourism, Hospitality, Logistics, or related field.
- At least 3 years’ experience in a tour company or DMC as a logistics/transport coordinator
- Knowledge of travel operations and destination logistics
- Proficiency in Microsoft Office and PMS in a Tour Company
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
