Job Summary

The successful candidate will coordinate office operations, support regulatory and governance compliance, maintain accurate records, manage stakeholder communication, and provide administrative support to management and clients.

Key Responsibilities

  • Coordinate and oversee daily office operations, ensuring efficient service delivery and effective administrative support across the organization.
  • Support the preparation, review, and timely submission of regulatory returns, reports, statutory documentation, and other compliance requirements to the Retirement Benefits Authority (RBA) and relevant regulatory bodies.
  • Maintain regulatory and compliance calendars, monitor statutory deadlines, support internal compliance reviews and audits, and ensure adherence to the Retirement Benefits Act, RBA Regulations, internal policies, and governance requirements.
  • Maintain accurate and up-to-date records of regulatory correspondence, licenses, statutory filings, compliance documentation, client information, and scheme records; support client onboarding and coordinate responses to administrative queries and requests.
  • Coordinate the procurement of office supplies and services, maintain effective vendor relationships, and monitor service agreements, renewals, and related administrative requirements.

Key Qualifications

  • Bachelor’s degree in Business Administration, Commerce, Public Administration, Finance, or a related field.
  • Minimum of 2 years’ relevant experience in office administration, corporate administration, governance support, pension administration, compliance, or a related function, preferably within a regulated environment.
  • Good understanding of the Retirement Benefits Act, RBA Regulations, retirement benefits schemes, and regulatory requirements in Kenya, with knowledge of pension or retirement benefits administration being an added advantage.
  • CIFA Part I, CPA Part I, or CISI – Regulations and Market Practice (Kenya) will be an added advantage.
  • Strong organizational, records management, reporting, and attention-to-detail skills, with the ability to manage multiple priorities, maintain accurate documentation, and meet regulatory and compliance deadlines.
  • Excellent written and verbal communication skills, with a professional ability to engage effectively with clients, regulators, management, service providers, and other stakeholders.
