JOB DETAILS:

Job Purpose:
To provide secretarial and administrative support to the business.

Nature and Scope:
Reporting to the Financial Accountant, the jobholder will be responsible for telephone control, typing of correspondences, managing the front office and filing documents.

Key Responsibilities:
• Responding to all enquiries and requests.
• Dealing with correspondences.
• Office management.
• Creating and maintaining up-to-date records through filing and archiving, while ensuring the safety and confidentiality of such records.
• Telephone control and maintain expense within budget.
• Data capture and typing accurate correspondences and reports.
• Accurate and organized filing of documents.
• Manage the front office service and ensure quality customer service.
• Ensure timely correspondence with the Head Office.
• Receiving and dispatching of correspondences in the company and to the clients.
• Assists in other duties as needed and directed.

Knowledge, experience and qualifications required
Knowledge, Experience and Qualifications:
• Higher Diploma in Secretarial Studies.
• Bachelor degree in Business Administration, Management or Communication an added advantage.
• Working experience of at least 1 year in a similar role.
• Demonstrated proficiency in computer/software packages e.g. Microsoft Word, Excel, and PowerPoint etc.
• Ability to use office and communications equipment/systems such as phones, e-mail, scanners etc.
• Ability to maintain confidentiality and high integrity.

• Strong inter-personal skills and ability to work in a team-oriented and collaborative environment.
• Ability to work in a fast paced and highly entrepreneurial environment.
• Excellent written and verbal communication skills including note taking and summarizing skills and the ability to communicate well at all levels in a clear, appropriate and timely manner.
• Demonstrated ability to prioritize and handle multiple critical projects and assignments.
• Strong attention to detail and high level of accuracy.
• Strong team player with excellent leadership skills.
