Position Overview

ICC is recruiting an Office Manager to support its Dispute Resolution Services Representation Office in Nairobi, Kenya, under the leadership of the Director of Arbitration and ADR, Africa.
The Office Manager will ensure smooth and efficient daily operations, manage administrative functions, coordinate with ICC headquarters in Paris, and maintain compliance with local and international policies.

Key Responsibilities

1. Office Operations

  • Serve as the first point of contact for staff and visitors, maintaining a professional and welcoming environment.
  • Manage and coordinate all office operations, including supplies, equipment, maintenance, cleaning, and repairs.
  • Oversee vendor relationships and liaise with local administrations.
  • Process monthly payments, including rent and utilities.
  • Order and manage office and pantry supplies.
  • Ensure compliance with health, safety, and workplace regulations.
  • Develop, implement, and maintain office policies and procedures to improve operational efficiency.

2. Coordination with ICC Headquarters (Paris)

  • Act as the on-site key contact for support services from HQ, including Finance, HR, Legal, and IT.
  • Coordinate implementation of global policies and directives from HQ.
  • Support HR functions, including onboarding, maintaining employee records, and managing recruitment logistics.
  • Monitor and report on ICC Africa operations to HQ.
  • Liaise with HQ regarding banking, fund transfers, invoice approvals, and payments.
  • Handle bookkeeping, year-end closings, and audit coordination in liaison with HQ.
  • Manage office budgets and track expenditures within approved limits.
  • Maintain local insurance policies and mandatory administrative documents; ensure timely renewals and updates.

Qualifications and Experience

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • 5–10 years’ experience in office management, administrative management, or a similar role.
  • Proven ability to organize operations and procedures in areas such as bookkeeping, personnel, information management, and procurement.
  • Strong organizational and time-management skills with the ability to prioritize effectively.
  • Excellent communication and interpersonal skills.
  • High level of emotional and cultural intelligence, proactive thinking, and sound professional judgment.
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint); knowledge of payroll systems and office management software is an advantage.
  • Ability to handle confidential information with discretion.
  • Strong problem-solving and decision-making abilities.
  • Detail-oriented with a proactive and solution-focused mindset.
