Background

Sustain East Africa (registered in Kenya as Dascot Limited) has over 15 years of experience in Kenya's conservation sector, offering tailored technical support, conservation planning, sustainable finance, and strategic services that build lasting systems for people and nature. We are seeking an experienced professional to join our team as an Office and HR Administrator.

Key Responsibilities

  • Office Management: Oversee office operations, supplies, meetings, internal platforms, and the company general email.
  • Travel Administration: Book flights, hotels and transport; coordinate fieldwork logistics and manage travel expenses.
  • Expenses & Reconciliations: File project/travel expenses, reconcile M-Pesa and card statements, support invoicing and monthly reporting.
  • HR Administration & Recruitment: Support recruitment, maintain staff/consultant contracts & records, coordinate onboarding, offboarding, and performance reviews.
  • Internal Coordination: Maintain shared calendars, support team meetings, and track the master register of project contracts and deadlines.

Requirements

Essential:

  • Degree or equivalent experience in HR, Business Administration, or a related field.
  • 5+ years' experience with an NGO, consultancy, CBO, or in a conservation context.
  • Demonstrable, hands-on HR experience is a must.
  • Basic bookkeeping skills, including expense reconciliation and financial record-keeping.
  • Excellent written and spoken English; Swahili an advantage.
  • Strong organisational skills, with excellent communication and interpersonal abilities.
  • Proficient with the MS Office suite.

Desirable:

  • Knowledge of conservancy management, innovative finance or carbon credits, and the wider East African conservation landscape.
